Budtender Training Path

Cashier Manager

This is a guided checklist for training a new budtender on the register. It walks through everything they do in a normal shift, in teaching order, and links to the detailed guide for each step. Work top to bottom — each section builds on the one before it.

How to run the session

Teach one section at a time using show → do together → they do it solo: you demo it once, they repeat it on their own register while you watch, then they lead the next one. Have every trainee personally ring a full mock sale, take a payment, and close the drawer — people remember what their own hands did, not what they watched.

What a budtender can do

At a newly set-up store, budtenders can apply discounts, void sales, process returns, and run the cash drawer on their own — these actions are tracked in the audit trail rather than blocked. If your store has tightened this under Settings → Users & Permissions, those actions will instead ask for a manager PIN. See User Roles & Permissions and Manager Override.

1. Sign in & start the shift

  • Sign in with your 4-digit PIN on the keypad
  • Understand that PIN login works even when the internet is down
  • Use Switch User / Lock to hand the screen to another budtender
  • Open the register with a starting float if you're the one opening

📖 Logging In · Opening & Closing Cash Drawers

2. Find a product

  • Scan a barcode — it adds itself to the cart
  • Search by name in the search bar
  • Browse by category (Flower, Edibles, Concentrates, Accessories…)
  • Pick the weight or variation when a product asks for one

📖 Product Search & Scanning · Barcode Scanner

3. Build the cart

  • Change quantity with + / − or by typing an exact amount
  • Remove a line, or clear the whole cart
  • Add an order note or customer info

📖 Cart Management · Making a Sale

4. Weigh flower

  • Add a weight-based product and choose a preset weight (0.5 g – 28 g)
  • Pull the weight straight from the connected scale
  • Know that if you pour heavy, the give-away amount is tracked automatically — it's not something you toggle

📖 Weight-Based Products · Scale

5. Apply a discount

  • Add a % or $ discount to a line or the whole order, with a reason
  • Remove a discount added by mistake
  • Know when a manager PIN is needed (only if your store restricted discounts)

📖 Applying Discounts

6. Customers & loyalty

  • Look up a customer by name, phone, email, or loyalty card
  • Quick-create a new customer at the counter
  • Watch loyalty apply automatically — Bronze / Silver / Gold / Platinum tiers give their own pricing
  • Redeem a loyalty reward when the banner appears

📖 Customer Lookup · Creating Customers · Loyalty at Checkout

7. Take payment

  • Take Cash — enter the amount tendered, give the change shown
  • Take Debit — customer taps/inserts at the terminal, then Complete
  • Use Split Payment to combine cash and debit on one order
  • Clear the age / ID check prompt on age-restricted items before payment
  • Finish on the success screen: email the receipt, then Start New Sale

📖 Completing Payment · Split Payments · Receipts

8. Print a product label

  • Print or reprint a product/price label from a cart line
  • Know which printer the labels come out of

📖 Label Printing

9. Hold & recall

  • Hold an order to park it and serve the next customer
  • Recall a held order to finish it

📖 Hold & Recall

10. Fix a mistake — void or return

  • Open Sales History and find a past sale
  • Void a sale or a single line (records a reason)
  • Process a Return for a customer bringing product back
  • Understand the difference: a void reverses a sale from this session; a return gives money back on an older sale

📖 Sales History · Voiding Sales · Returns

11. Cash drawer

  • Do a Cash Drop (move big bills to the safe)
  • Do the cash count and close the drawer at end of shift
  • Read the Z-Report the close produces
  • Hand off mid-shift with a takeover

📖 Cash Drops & Payouts · Opening & Closing · Z-Reports · Takeover

12. When the internet drops

  • Read the sync status button (Online / Offline)
  • Keep ringing — sales queue on the device and sync themselves when you're back online
  • Trust that products still scan from the local cache while offline

📖 Offline Mode

13. Online orders

  • Know that online / storefront orders flow into the POS
  • Recognize an incoming online order ticket and hand it to whoever fulfills it

📖 Online Order Tickets

Once every box above is ticked and they've personally rung a sale, taken a payment, done a void, and closed a drawer, they're ready for the floor.
