Applying Discounts

Cashier Manager Admin

Brother POS supports several types of discounts that can be applied to individual items or to the entire order. This guide covers manual discounts applied at the register. For automatic promotions, see Sale Campaigns and Freebies.

Opening the Discount Modal

To apply a discount:

  1. Make sure there is at least one item in the cart.
  2. Tap the Discount button in the action buttons area below the cart.
  3. The discount modal opens.

The Discount button is only visible when the cart has items. If the cart is empty, the button does not appear.

Manager Authorization

If you are logged in as a Cashier and do not have the apply_discounts permission, the discount modal first shows a Manager Authorization Required screen.

Authorizing a Discount

  1. A manager or admin must enter their 4-digit PIN.
  2. The system verifies the PIN belongs to a user with discount permissions.
  3. If valid, the full discount modal opens.
  4. If invalid, an error message appears and you can try again.

Manager Admin Users with the apply_discounts permission skip this step entirely.

The manager does not need to take over the register. They simply enter their PIN on the cashier's screen to authorize the discount and can walk away.

Discount Scope

At the top of the discount modal, choose where to apply the discount:

Single ItemThe discount applies to one specific line item

When Single Item is selected, a dropdown appears listing all items in the cart. Select the item you want to discount.

Discount Types

Three discount types are available:

Discount modal with percentage, dollar, and final price options

Percentage Discount (%)

Reduces the price by a percentage. For example, 10% off a $50.00 subtotal = $5.00 discount.

  • Enter a value between 1 and 100.
  • Quick-select buttons appear for common percentages: 5%, 10%, 15%, 20%, 25%.
  • A dedicated Senior Discount (10%) button is also available.

Dollar Discount ($)

Reduces the price by a fixed dollar amount. For example, $5.00 off a $50.00 subtotal.

  • Enter the dollar amount to subtract.
  • The discount cannot exceed the subtotal (or item price for single-item discounts).

Final Price Override ($)

Sets the exact price the customer will pay, and the system calculates the discount automatically.

  • Enter the desired final price.
  • The modal shows the current price for reference and calculates the discount amount.
  • For example, if the subtotal is $50.00 and you enter $40.00, the discount is $10.00.

Final price override is useful when you need to match a competitor's price or honor a specific quoted price. Instead of calculating the discount percentage, just type the agreed price.

Applying the Discount

  1. Select the scope (Entire Order or Single Item).
  2. If Single Item, select the item from the dropdown.
  3. Choose the discount type (Percentage, Dollar, or Final Price).
  4. Enter the value (or tap a quick-select button).
  5. Optionally enter a reason (e.g., "Senior discount", "Damaged packaging", "Price match").
  6. Tap Apply Discount (or Set Final Price for final price overrides).

The modal closes and the discount appears in the cart totals.

How Discounts Display in the Cart

Order-Level Discounts

Order discounts appear as a separate line in the totals area:

  • Order Discount: Shows the discount amount (e.g., "-$5.00" or "-10%")
  • Tax is recalculated on the discounted subtotal
  • A small X button next to the discount lets you remove it

Item-Level Discounts

Item discounts appear on the individual line item:

  • The original price is shown with a strikethrough
  • The discounted price and discount amount are displayed below
  • A small X button lets you remove the item discount

Tap the X button next to the order discount line in the cart totals area.

Tap the X button next to the discount indicator on the specific line item.

Active Promotions

The discount modal also shows active sale campaigns (if any are currently running). These appear at the top of the modal before the manual discount options.

Selecting a Campaign

  1. Active campaigns are listed with their name, description, and discount value.
  2. Tap a campaign to auto-fill the discount type and value.
  3. The campaign name is automatically set as the discount reason.
  4. Tap Apply Discount to apply it.

Loyalty Rewards

If a customer is attached to the sale and has available loyalty rewards, they appear at the very top of the discount modal.

Redeeming a Reward

  1. The customer's points balance is shown.
  2. Available rewards are listed with their name, description, and point cost.
  3. Tap a reward to apply it.
  4. The reward's discount is applied to the order, and the points are deducted when the sale completes.

Discount Rules and Limits

Discounts are tracked in the audit trail. Every discount includes who applied it, who authorized it (if manager override was used), the discount amount, and the reason. This information appears in sales reports and the activity log.

Offline Discount Support

When the POS is offline:

  • Manual discounts (percentage, dollar, final price) work normally.
  • Active sale campaigns may use cached data and might not reflect the latest changes.
  • Loyalty rewards fall back to cached customer data. Point balances are verified when the sale syncs online.
