Cash Drawer Takeover
A takeover is a combined close and reopen operation that transfers cash drawer responsibility from one manager to another. The outgoing manager closes their session with a cash count, and the incoming manager immediately opens a new session with a new opening float. This creates two separate sessions, each with its own Z-Report, providing clear accountability for each manager.
When to Use Takeover
Use takeover when:
- A manager's shift is ending and the next manager needs to take over the register.
- Your store policy requires each manager to account for their own cash.
- You need a clean accountability boundary between shifts without leaving the register idle.
A takeover is not a seamless handoff within one session. It closes the outgoing session (with a mandatory cash count) and opens a new session (with a new opening float). Each session gets its own Z-Report. This ensures every manager is accountable for the cash during their own shift.
Who Can Perform a Takeover
Only users with the Manager or Admin role can perform a takeover. The handoff always goes from one manager to another manager.
- The incoming manager initiates the takeover by selecting a register with an open session and clicking Take Over.
- The incoming manager counts the cash to close the outgoing session and enters a new opening float to start their own session.
- Cashiers cannot initiate or accept a takeover.
How to Perform a Takeover
Step-by-Step
Takeover is initiated by the incoming manager, not the outgoing one.
- The incoming manager logs in to the POS and reaches the Register Selection screen.
- On a register that has an open session, click Take Over.
- The Cash Count screen appears. The incoming manager enters the total cash amount currently in the drawer for the outgoing session.

- The system calculates the over/under for the outgoing session and closes it. A Z-Report is generated for this session.
- The incoming manager enters the opening float for the new session.
- Tap Open Drawer. A new session begins under the incoming manager.
The outgoing manager does not need to initiate the process.
What Happens During a Takeover
- The outgoing session is closed. A cash count is required, just like a normal drawer close.
- A Z-Report is generated for the outgoing session covering all activity from when it was opened until the takeover.
- A new session is created for the incoming manager with a fresh opening float.
- The takeover event is recorded for audit purposes, linking the two sessions together with:
- Who handed off (outgoing manager)
- Who took over (incoming manager)
- When the takeover occurred
- The incoming manager is now responsible for the new session until they close it or another takeover occurs.
The outgoing manager must count the cash in the drawer and enter the total amount. This is not optional. The cash count ensures accountability and generates an accurate over/under calculation for the outgoing session.
Multiple Takeovers
You can perform multiple takeovers throughout the day. Each takeover creates a separate session with its own Z-Report:
| Time | Event | Session |
|---|---|---|
| 8:00 AM | Manager A opens the drawer with $200 float | Session 1 begins |
| 12:00 PM | Takeover: Manager A counts cash, Manager B opens with new float | Session 1 closes, Session 2 begins |
| 4:00 PM | Takeover: Manager B counts cash, Manager C opens with new float | Session 2 closes, Session 3 begins |
| 10:00 PM | Manager C closes the drawer with cash count | Session 3 closes |
In this example, three separate Z-Reports are generated -- one for each session. Each manager is accountable only for the transactions and cash activity that occurred during their session.
The Takeover Workflow in Detail
Outgoing Manager: Closing the Session
The outgoing manager's responsibilities during a takeover are the same as a normal drawer close:
- Count all cash in the drawer.
- Enter the total cash amount into the Cash Count screen.
- Submit the count.
- Review the over/under result.
The system then generates a Z-Report for the outgoing session. This report covers everything from when the session was opened until the takeover, including all sales, cash drops, payouts, and the final cash reconciliation.
Incoming Manager: Opening the New Session
After the outgoing session is closed, the incoming manager:
- Authenticates with their PIN or credentials.
- Enters the opening float for the new session.
- Confirms to open the drawer.
The new session starts fresh. Its Z-Report will only include activity from this point forward.
Viewing Takeover History in the Admin Panel
AdminAdmins can view the linked takeover sessions:
- Navigate to Cash Drawers in the top navigation bar.
- Sessions created from takeovers are linked in the session records, showing:
- The outgoing session with its Z-Report, closing cash count, and over/under result
- The incoming session with its opening float and subsequent activity
- The handoff timestamp and the managers involved
- Each session has its own complete Session Timeline showing:
- Session opened (by whom, with what float)
- Cash drops and payouts
- Session closed (by whom, with what count, and the over/under result)
Frequently Asked Questions
Can a cashier accept a takeover?
No. Only managers and admins can accept a takeover. If a cashier is the only person available, the outgoing manager has two options: leave the session open (the cashier can still process sales), or close the drawer entirely and have a manager open a new session later.
Does a takeover require a cash count?
Yes. The outgoing manager must count the cash and enter the total amount. This is a mandatory step that ensures accountability. The cash count produces the over/under calculation for the outgoing session.
Can I take over a session from a different register?
No. Takeover applies to the session on the register where the takeover is initiated. Each register has its own independent session.
What if the outgoing manager already logged out?
The incoming manager can still initiate the takeover from the Cash Drawer menu. They will need to complete the cash count on behalf of the outgoing manager. The system records which manager was responsible for the session being closed.
Does each session get its own Z-Report?
Yes. Since a takeover closes one session and opens another, each session generates its own Z-Report. The outgoing session's Z-Report covers all activity up to the takeover. The incoming session's Z-Report covers all activity from the takeover until that session is closed.
