Pro Shop Check-In and Walk-Ins

Cashier Manager Admin

Use this page to check golfers in at the register, and to book and charge walk-ins.

Quick steps

To check in a booked group:

  1. On the register, tap the Tee Times tab (next to Products).
  2. Find the group under Bookings and tap Check In. Their green fees and cart fees go into the cart.
  3. Add anything else they're buying, then take payment as usual.

To book a walk-in:

  1. On the Tee Times tab, tap Walk-in (or tap a time under Open slots).
  2. Pick Today or Tomorrow, then tap an open time.
  3. Type the Customer / lead golfer name. For a member, type their name, email or phone under Member or prepaid round pack (optional) and tap Find.
  4. Set the Party size and Holes. Pick each golfer's rate and tap Cart for anyone taking a cart.
  5. Tap Send to cart, then take payment.
tip

If a group was checked in on the admin tee sheet, the button reads Add fees to cart instead. Tap it once — each tap adds the fees again.

Common questions

Check In is greyed out. Select a register on this device first.

The group paid online. What do I charge? Nothing. The register says Checked in — paid online, nothing to collect.

Does the whole group get the member rate? No. Only the lead golfer gets the member rate or the prepaid round. Everyone else pays for their own player type.

A green fee came in at $0. No green fee rate covers that golfer. Check the cart before taking payment, and ask a manager to fix the green fee rates.

More detail: today's bookings and checking in

When Golf is on, the register has a Tee Times tab next to Products. On a phone-sized screen it's a Tee Times button in the bottom bar, which opens Today's Tee Times.

The tab has a green Walk-in button at the top and two lists: Bookings and Open slots. Both refresh on their own every 30 seconds.

Today's Bookings

The Bookings list shows every booking for today that isn't cancelled, in tee-time order. Each shows:

  • The tee time and the booking's status
  • The booking name, number of golfers and holes, and + cart when a cart was requested
  • The quoted total

Checking a group in

Tap Check In on the booking. The booking shows as checked in and the group's fees go into the cart: a green fee line for each golfer, plus a Cart Fee line for each golfer taking a cart. They're added after anything already in the cart, so you can ring up a sleeve of balls in the same sale. The register confirms with, for example, "Checked in — 2 items added to cart". Take payment as usual.

If the group paid online when they booked, nothing is added and the register says "Checked in — paid online, nothing to collect".

Check In is greyed out until a register is selected on this device.

A group checked in on the admin tee sheet

If someone checked the group in from the admin tee sheet, the booking shows Add fees to cart instead of Check In. Tap it to put their fees in the cart and take payment. It isn't shown for a booking that was paid online.

Tap it once

Add fees to cart adds the fees every time you tap it. If you tap it twice, remove the extra lines from the cart before taking payment.

Booking a Walk-In

Use Walk-in for golfers who turn up without a booking. It books the tee time and adds their fees to the cart, after anything already there.

  1. Tap Walk-in (or tap a time in the Open slots list to start with that time picked).
  2. Pick a tee time. Choose Today or Tomorrow, then tap a time. Green times are open, amber are partly booked, and grey are full or blocked. Each time shows the places left, for example 3/4.
  3. Party details:
    • Customer / lead golfer name (required).
    • Member or prepaid round pack (optional): type the member's name, email or phone and tap Find. See Members at the counter below.
    • Party size: up to 4, and never more than the places left.
    • Holes: 9, 12 or 18, up to the course's number of holes.
    • Golfer rates & carts: pick each golfer's player type (Public, Senior, Junior or Member) and tap Cart for anyone taking a cart.
  4. Tap Send to cart. The register shows "Walk-in booked for 10:40 AM — 3 items added to cart".
  5. Take payment as usual. See Completing a Payment.

The booking appears on the tee sheet as Checked in.

If you pick a time that has already started, the walk-in is refused with "That tee time has already passed. Please pick another time." Pick a later time.

Green fees come from your rates

The prices are worked out from your green fee rates and cart fee. If no rate covers a golfer, their green fee line comes in at $0, so check the cart before taking payment.

More detail: members and prepaid rounds at the counter

Members at the Counter

After Find, the register shows the member's name and what they hold:

  • Member rate applies to the lead golfer. They have an active golf membership, so the first golfer is charged the Member rate automatically.
  • Use a prepaid round — 7 of 10 left. They have a prepaid round pack. Tick it to cover the lead golfer's round: their green fee and cart are $0 and one round is taken off the pack.

If the person has no golf membership you'll see "… has no active golf membership.", and if nobody matches, "No member found with that name, email, or phone."

Only the lead golfer gets the member rate or the prepaid round. The rest of the group pay for their own player type.

See Member Rates and Prepaid Rounds for how to set these up.

More detail: open slots

Open Slots

The Open slots list shows today's tee times that can still be booked, course by course, with a count such as "23 open / 60 total". Green times are empty and amber times are partly booked. Tap a time to start a walk-in for it.
