Service Jobs Overview

Admin Manager

Use this page to get your bearings in Service Jobs: where things are and the steps a job goes through.

At a glance​

  • A service job is a work order: a repair, a lawn cut, an install. It holds the customer, the labour and parts, who does the work and when, notes, photos and payments.
  • Open Service Jobs in the main menu. Tabs across the top take you to Jobs, Schedule, Quotes, Recurring, Categories, Templates and My Jobs.
  • Each job moves through the same steps: Draft → Approved → Scheduled → In Progress → Completed → Invoiced → Paid. The job page shows one button for the next step.
  • The jobs list shows Open Jobs, Scheduled Today, Needs Invoicing and Overdue at the top, and lets you search and filter.
  • Service jobs appear once they are switched on for your store.

Service jobs are work orders for work you do for a customer — a furnace repair, a lawn cut, a bike tune-up, an install on site. Each job holds the customer and address, the labour and parts you're charging for, who is doing the work, when, notes and photos, and the payments you've received.

Service jobs have to be switched on

Service jobs appear once they are switched on for your store. If your store has the Storefront page, its Features list has a Service Jobs switch ("Work orders and job tracking"); otherwise ask Brother POS support. When it's on, admins and managers see Service Jobs in the main menu.

The Service Jobs Pages​

Service Jobs in the main menu opens the jobs list. A row of tabs across the top of every service page takes you to the rest:

The Jobs List​

The page is titled Service Jobs — "Manage work orders and field jobs".

The four numbers​

CardWhat it counts
Open JobsJobs that are Draft, Approved, Scheduled or In Progress.
Scheduled TodayJobs with a scheduled start time today.
Needs InvoicingJobs that are Completed but not yet marked invoiced.
OverdueJobs whose scheduled end time has passed but that aren't completed, invoiced, paid or cancelled.

The same four numbers, plus Revenue (30d) from jobs paid in the last 30 days, appear in a Service Jobs panel on your admin home page.

Search and filters​

  • Search — a job number, part of the title, or the customer's name.
  • Status, Priority and Category — narrow the list to one of each.

Click Filter to apply. The list shows 25 jobs per page, newest first.

The columns​

Job # (click it to open the job), Title, Customer, Category (only shown when at least one job on the page has one), Assigned, Scheduled, Priority, Status and Total.

Bulk actions​

Tick the boxes beside jobs (or the box in the header to tick them all) and a bar appears with "[n] selected" and two choices:

  • Mark as Invoiced — marks the ticked jobs invoiced. Only jobs that are Completed are changed; the rest are skipped.
  • Cancel Jobs — cancels the ticked jobs that are still open (Draft, Approved, Scheduled or In Progress), skipping the rest.

Click Apply and confirm. The message tells you how many jobs were changed.

How a Job Moves Along​

Every job goes through the same steps. Each step is one button in the Actions panel on the job's page, and the panel shows only the next step.

Cancel Job is on jobs that are Draft, Approved, Scheduled or In Progress. Completed, invoiced and paid jobs can't be cancelled. Cancelling can't be undone.

For example: a customer calls about a leaking tap. You create the job (Draft), approve it, book it for Tuesday at 9 AM (Scheduled), your plumber starts it on site (In Progress) and finishes it (Completed). You send the bill (Invoiced), and when the customer pays, you record it (Paid).
