Setting Up Events and Tickets
Use this page to create an event, put tickets on sale and share the link where people buy them.
Quick steps
- Click Events in the top navigation bar, then click New event.
- Type the Name, pick when it Starts and Ends, and fill in the Venue name and Venue address.
- Click Create event. It's saved as a Draft, and its edit page opens.
- In the Ticket types box on the right (below the form on a phone), type a Name (for example "General Admission"), the Price ($, before tax) and How many, then click Add ticket type. Repeat for each kind of ticket.
- Check that your card processor is set up. See Ticket payments below.
- At the top of the form, change Status to On sale and click Save event.
- Click ← Back to event. In the Share box, click Copy buy link and share it, or click Booth poster and print it.
Buyers can't open an event page while it's a Draft. To check it before you put it on sale, click View page in the Share box on the event's page: on a draft it opens a private preview (marked "Preview, not on sale yet") that only works from that link, for 7 days.
Common questions
I don't see Events in the navigation bar. Event ticketing is switched on for your store by Brother POS. Contact Brother POS support to turn it on. Once it's on, you also need Manage Events & Ticket Orders — see Who can do what.
The event page says "Online ticket sales aren't open yet." No card processor is set up yet. An admin needs to fill in the Ticket payments card. See Ticket payments.
A yellow box says my website is in "under construction" mode. While your storefront is under construction, nobody can open event pages. Turn it off in Storefront settings.
How do I do Early Bird pricing? Add a ticket type called "Early Bird" and set its Sales end date. When that date passes it stops selling by itself. Add your regular ticket type with a later Sales start, or with no dates. A type whose Sales start hasn't come yet stays off the event page, so buyers don't see the higher price beside the Early Bird.
Can I charge more at the door? Yes. Add a ticket type with the door price and tick Sell at the door only. It sells on the register but never shows on the event page. It shows a Door only badge in your ticket types.
Can I lower how many tickets a type has? Yes, but not below the number already sold or being bought. The page tells you the lowest number you can use.
The Delete button on a ticket type didn't delete it. That type has sold tickets, so it was switched off (On sale unticked) instead. The tickets already sold still work.
How do I delete an event? On its edit page, click More actions, then Delete event. An event with orders can't be deleted (the menu says so): set Status to Cancelled instead.
Does cancelling the event refund everyone? Not by itself. Cancelled stops sales, and every ticket already sold stops working at the door straight away. Buyers who gave an email get a message saying the event is cancelled. Nobody gets money back until you click Refund all orders on the event's page. See Ticket Sales and Orders.
More detail: every field on an event
The Event
| Field | What it does |
|---|---|
| Status | Draft, On sale, Ended or Cancelled. Tickets only sell, online and at the register, while the event is On sale. A new event starts as a Draft, so this box is only on the edit page. The line under it says what the status you picked does. |
| Name | Shown at the top of the event page, on tickets and in emails. |
| Starts / Ends | The date and time of the event, in your store's time zone. Ends is optional. |
| Venue name / Venue address | Where the event is. If both are blank, buyers see "Location to be announced". |
| Description | Shown on the event page under the date and location. |
| Event picture | A poster or photo shown at the top of the event page. JPEG, PNG, WebP or GIF, under 10 MB. Once saved, a small copy shows next to the box. |
| Minimum age | Buyers must tick "I am 19 or older and will bring photo ID" (with your age) before they can pay. Starts at 19. |
| Overall capacity | The most tickets the whole event can sell, across every ticket type. Blank means no limit. |
When you edit an event, Email ticket buyers if this changes the date, time or place (next to Save event) is ticked. Untick it to fix a typo without emailing anyone.
What each status does
| Status | Event page | Online sales | At the register | At the door |
|---|---|---|---|---|
| Draft | Hidden from the public | No | Not on the register | Not listed |
| On sale | Open | Yes | Ticket types can be sold | Listed |
| Ended | Open, says "This event has ended" | No | Taken off the register | Listed |
| Cancelled | Open, says "This event has been cancelled" | No | Taken off the register | Listed as "(cancelled)". Every ticket scans red: "Event cancelled — not valid" |
More options
Click More options at the bottom of the form to open these. The box opens by itself when one of them is already set.
| Field | What it does |
|---|---|
| Page address | The end of your event's link. Made from the name if you leave it blank. The link is shown underneath. Once you have orders, changing it breaks links and posters you already shared. |
| Reveal location at | Keeps the location secret until this time. Until then, the event page, the tickets, the email and the calendar entry say when it will be revealed instead. Leave it blank to show the location now. |
| Event guide link / Guide password | A web page for the day — a map, a schedule, a vendor list. The link (and the password, if it has one) goes out with the tickets email and the day-before reminder, and shows on the buyer's My Tickets page. Leave it blank to send nothing. |
| Sales emails to you | Where sales emails go (Send them to; blank uses your store's email — only an admin can change it), and which ones: A summary each morning of the day before's sales and refunds, and An email for every sale. |
Group deal
One deal per event, applied automatically online and at the register. The event page tells buyers about it. Pick the deal first: the boxes it needs (X, and for the amount-off deal Amount off each ticket ($)) appear once you do.
| Deal | How it works |
|---|---|
| No group deal | Everyone pays the listed price. |
| Buy X, get one free | For every X tickets bought, one more is free — the cheapest ticket in the order. With X = 4, an order of 5 tickets gets one free, and an order of 10 gets two free. |
| X or more tickets, amount off each | When an order has at least X tickets, every ticket gets Amount off each ticket ($) off. |
A free ticket carries no tax. At the register, every ticket of the event in the cart counts toward the deal, the same as online, and the cart shows the lower price.
Free ticket for sharing
Tick Offer buyers a free ticket for bringing friends to give every buyer a share link. The steps appear once it's ticked: each row is a number of friends' tickets and the share of one ticket paid back for reaching it (100% is a free ticket). Leave a row blank to drop it. Nothing is paid automatically: you pay each buyer from Free tickets earned on the event's page, once the event is over.
More detail: ticket types
Ticket Types
Each event needs at least one ticket type. They're in the Ticket types box on the event's edit page: each type shows its price, how many sold and how many are left. Add one with the form at the bottom of the box. To change one, click it (or its Edit), change it and click Save; Delete is there too.
| Field | What it does |
|---|---|
| Name | For example General Admission, VIP, Early Bird. |
| Price ($, before tax) | Your store's tax, if it charges any, is added on top at checkout. A price of 0 makes a free ticket. |
| How many (blank = no limit) | Tickets of this type for sale. The event's Overall capacity still applies. |
| Sales start / Sales end | When this type can be bought, online and at the register. Blank means no limit. When adding a type, click Only sell between certain dates to see them. Before the start, the type isn't on the event page. If nothing else can be bought yet, the page says "More tickets go on sale" with the date. After the end, the type shows "Sales ended". |
| Max per order | The most of this type one buyer can get in one order, online or at the register. Starts at 10. |
| On sale | Untick to stop selling this type (online and at the register) without deleting it. The type then shows Not on sale. |
| Sell at the door only | Sold on the register only, never on the event page. Use it for a higher door price you don't want shown next to the advance tickets. The type shows Door only. |
Buyers pay the ticket price, plus tax if your store charges tax. There is no service fee.
Ticket types at the register
Each ticket type also appears on the register as an item named after the event and the type (for example "Winter Fest — General Admission"), in a category called Tickets. See Ticket Sales and Orders.
A ticket type is on the register only while it is ticked On sale and its event is On sale — not while the event is a Draft, and not once it's Ended or Cancelled. The register follows the same rules as the event page: Sales start, Sales end, Max per order, how many are left, and the group deal. Untick On sale on a type to take it off the register.
More detail: the event dashboard and the booth poster
The Event Dashboard
The Events list shows every event with its status, tickets sold (out of the overall capacity, if it has one) and revenue. Events still to come are at the top, soonest first. Click an event's name to open its page.
| Tile | What it shows |
|---|---|
| Tickets sold | Tickets sold and still valid (online and at the register), out of the overall capacity. |
| Checked in | Tickets scanned in at the door, plus walk-up tickets sold at the register, out of those sold. |
| Revenue | Money taken for the event, after refunds. |
| Tax collected | Tax on tickets sold, after refunds. Only shown when your store charges tax. |
Below the tiles, Ticket types lists each type's price, how many sold, and how many are left (or "no limit"). Not on sale means the type is switched off. Edit ticket types opens the edit page.
The Share box shows the event's link with Copy buy link, View page and Booth poster.
A coloured box at the top tells you when something needs doing: the event is still a Draft, it's on sale with nothing to buy, or some orders "need a payment check" (click see orders, and see Ticket Sales and Orders).
Below the ticket types are the boxes for selling more: Waitlist (once someone joins it), Tracking links, Discount codes, and Event page visits on the right. See Promoting Your Event.
The buttons at the top are Orders, Edit and More actions, which has Door list (print) and downloads of the attendees and orders. The door list is a printable list of every ticket, sorted by last name (or click Sort by ticket code).
The Booth Poster
Click Booth poster in the Share box on the event's page (or under More actions on the edit page). A page opens with the event name, date, "Scan to buy tickets", a large QR code and the link. Click Print.
Put it on your table at the door: people with a card scan it and buy on their own phone, and you scan their new ticket in.
More detail: your ticket policies
Ticket Policies
Click Events in the top navigation bar, then Policies. The page has three boxes: Refund Policy, Terms of Sale and Privacy Policy.
- Each box starts with suggested text, filled in with your store's name and contact. It's a starting point, not legal advice. Have someone check it before you rely on it.
- Change the text and click Save policies. Each box says Your text or Suggested text, with View page to see it as buyers do.
- Leave a box as it is (or empty it) to keep the suggested text.
Buyers see the policies linked at the bottom of every ticket page. Beside the payment button it says "By paying, you agree to the Terms of Sale and Refund Policy." The tickets email includes your refund policy.
More detail: ticket payments
Ticket Payments
Online ticket sales need a card processor. Until one is set up, the event page shows tickets but says "Online ticket sales aren't open yet", and the Events pages show a yellow reminder.
- Click Settings, then the Sales & Integrations tab.
- Find the Ticket payments card.
- Under Card processor, pick your processor (for example Sola).
- Paste the keys it asks for. For Sola, that is the Sola API key and the Sola iFields key, both made in the Sola portal under Settings → Gateway Settings → Key Management.
- Click Update Settings at the bottom of the page.
- Click Test connection to check the saved keys work.
When it works, the card's title shows On and the card says Online ticket sales are on through your processor.
- Only admins can change the processor and keys. Managers can see the card but their changes to it aren't saved.
- Leave the API key box blank to keep the key already saved. Paste a new one to replace it.
- Card payments for online tickets aren't available for cannabis, smoke and vape, or liquor store types. The card says so.
More detail: turning ticketing on, and who can do what
Turning It On
Event ticketing is switched on for your store by Brother POS. There's no tick box for it in your own settings. Brother POS can set your store up as an Events store, which comes with ticketing, the storefront and customers already on. Contact Brother POS support.
Once it's on:
- Events appears in the top navigation bar for people allowed to manage events.
- The Ticket payments card appears in Settings → Sales & Integrations.
- The register gets a Door tab for people allowed to scan tickets. See Scanning Tickets at the Door.
- The Events & Tickets group appears on the Role Permissions page.
In an Events store, the register is kept simple for selling tickets and working the door: it hides Customer, Manual Item, Hold and Recall.
Who Can Do What
Four permissions in the Events & Tickets group on the Role Permissions page control ticketing. Admins can always do everything.
| Permission | What it allows | Manager | Clerk |
|---|---|---|---|
| Manage Events & Ticket Orders | The Events menu: create and edit events and ticket types, policies, discount codes, tracking links and the waitlist; see orders, fix names, re-send tickets, export | On | Off |
| Refund Ticket Orders | Refund online orders, Refund all orders of a cancelled event, resolve unclear refunds, release a stuck hold, cancel walk-up tickets that didn't cancel | Off | Off |
| Scan Tickets at the Door | The register's Door tab, and checking in a ticket scanned on the Products tab | On | On |
| Undo Ticket Check-Ins | Take back a check-in when the wrong ticket was scanned, on the Door tab or on the order's page | On | Off |
These are the starting settings. An admin can change them for each role on the Role Permissions page.
