Scanning Tickets at the Door
Use the register's Door tab to check tickets as people arrive. Green means let them in. Red means don't.
Quick steps
- Sign in to the register and tap the Door tab at the top of the product area. On a phone, tap Door in the bar along the bottom of the screen (tap Back to return to products).
- Check the event at the top. If more than one is listed, pick yours.
- Scan the ticket's QR code:
- In the Brother POS app, tap Scan ticket and point the camera at the code. The camera stays open for the next person. Tap Done when you're finished.
- With a USB or Bluetooth barcode scanner, just scan. No need to tap anything first.
- Or type the code under the QR code into Type a ticket code and tap Check ticket (or press Enter). New tickets have 6-character codes. Older tickets have 10, and those still work.
- Read the big result: green with "Admitted" means let them in. Red means stop and read why.
To sell a ticket to someone without one, tap Products and sell it like any item. See Selling tickets at the register. Walk-up tickets are checked in when the sale completes, so you don't scan them.
What each result means
| Result | Colour | What to do |
|---|---|---|
| Admitted | Green | Let them in. Their name and ticket type show underneath. |
| Already scanned at (time) | Red | This ticket was already used, at the time shown. Someone may have shared a screenshot. Ask for ID or a manager. |
| Refunded — not valid | Red | The ticket was refunded. Don't let them in on it. |
| Cancelled — not valid | Red | The sale for this ticket was voided at the register. |
| Event cancelled — not valid | Red | The whole event was cancelled. No ticket for it gets in, whichever event the Door tab has open. |
| Not paid — not valid | Red | The buyer never finished paying. |
| Ticket is for a different event | Red | A real ticket, but for another of your events. |
| Not a ticket for this event | Red | Not one of your tickets, or a code that was typed wrong. Try typing it again. |
| Turned away earlier — scan again | Red | This ticket was refused earlier while a device was offline. Scan it again for a fresh answer. |
The answer clears by itself — "Admitted" after 6 seconds, a red answer after 10 — so the screen is ready for the next person and a scan that didn't read is easy to spot.
The person's photo ID and age are still yours to check. The ticket only proves they paid.
Find a ticket by name
For someone who lost their phone, or whose ticket is under a friend's name:
- Type at least two letters of their name in Find by name, under the code box. It finds the name on the ticket and the name of the person who bought it.
- Each match shows the name, "Bought by" (when someone else bought it), the ticket type, the code and whether it's checked in.
- Check their ID, then tap Check in. It counts exactly like a scan.
This works without internet: it searches the event's tickets saved on the device.
Undo a check-in
If the wrong ticket was scanned — a friend's ticket off the same phone, for example — take the check-in back so that ticket can get its holder in:
- Tap Undo check-in on the green (or "Already scanned") result, or next to the ticket in Find by name.
- Tap Yes, undo. The Door tab says "Check-in undone. Scan the ticket again to let them in."
Undo needs the Undo Ticket Check-Ins permission, which managers have to start with and cashiers don't. It needs an internet connection. A manager can also undo a check-in from the order's page in Events → Orders.
Common questions
I don't see the Door tab. The Door tab needs event ticketing on for your store and the Scan Tickets at the Door permission, which cashiers and managers have to start with. On a tablet or computer it's a tab at the top of the product area; on a phone it's Door in the bar along the bottom of the screen.
Do I have to switch to the Door tab to scan a ticket? No. On the event's day, scan a ticket's QR code on the Products tab and it's checked in right there. The answer shows big, in green or red, for a moment. Your cart isn't touched.
My event isn't in the list. The list shows events that are On sale, Ended or Cancelled and start within two days of today. A cancelled event says "(cancelled)" after its name, so you can still scan its tickets and tell people it's off. A Draft event isn't listed. Ask a manager to set the event On sale.
It says "No events today." Can I still scan? Yes. A scan, or a typed code, shows what the ticket is and which event and day it's for (a valid ticket shows in blue) — but nobody is checked in. Check-in opens on the event's day. This is handy for testing your scanner, or for telling a guest they've come on the wrong day. It needs an internet connection.
There's no Scan ticket button. The camera button is only in the Brother POS app on a tablet or phone. In a web browser, use a barcode scanner or type the code.
What happens if a ticket stays in front of the camera? It counts once, however long it stays in view. Each ticket gets a high beep when admitted and a low double beep when refused (Android phones also buzz), and its answer covers the camera for a moment.
What do the numbers at the top mean? "120 / 300 checked in" means 120 tickets of the 300 sold have been scanned in (walk-ups count as checked in). "3 to sync" means this device has scans it hasn't sent yet. The count also shows under the camera while it's open.
The internet went down. Can we keep scanning? Yes. The Door tab keeps a copy of the event's tickets on the device and checks scans against it. A result made this way says "Checked on this device; confirms when online". The scans are sent as soon as the internet is back. Pick the event while you're still online, so the device has its copy.
Someone was turned away while we were offline. Will they show as checked in later? No. A ticket the device refused stays not checked in when the scans are sent.
Two of us are scanning on different devices. Can someone get in twice? When both devices are online, no — the second scan shows Already scanned. If a device is offline it can't see the other device's scans until it reconnects, so the same ticket could get in on both. When they sync, the earlier scan is the one that counts.
A red banner says some scans couldn't sync. "N scans couldn't sync — tell a manager." The check-ins were refused when they were sent. A manager can tap Download failed scans to keep a list, then Discard failed scans (and Yes, discard) to clear the banner.
More detail: how the Door tab stays up to date
The Door tab downloads the event's tickets when you pick the event, and refreshes them every 30 seconds and whenever the internet comes back. Refunds, new sales, a cancelled event and other devices' scans show up within that time.
When you're online, each scan is checked by Brother POS and the answer comes from there. If the answer doesn't come back within a few seconds, the device answers from its copy and the scan is checked again when it's sent. The first scan of a ticket always stands: nobody is "un-admitted" after the fact unless a manager uses Undo check-in.
Scans that haven't been sent are kept on the device, even if the app is closed. Before you sign the device out of your store, let them finish sending — the register warns you if any are still waiting.
Leaving the Door tab clears the last answer, so an old green or red never looks like a new scan when you come back.
Who can do this
Scanning needs the Scan Tickets at the Door permission, in the Events & Tickets group on the Role Permissions page. Cashiers (clerks) and managers have it to start with, and admins always do. Undo check-in needs Undo Ticket Check-Ins, which managers have to start with. See Who can do what.
