Recurring Jobs

Use this page to set up repeat work — a maintenance contract, weekly cleaning, a yearly inspection — so a new job is created for you on schedule.

Quick steps​

  1. Go to Service Jobs → Recurring and click New Schedule.
  2. Type a Title (each job is named after it), pick the Customer, and add the standard tasks in Description.
  3. Pick a Frequency (Weekly, Biweekly, Monthly, Quarterly or Yearly) and set Every N cycles (1 means every cycle).
  4. Set the Start Date (the first job's date) and, if the contract ends, an End Date. Fill in the Site Address.
  5. Click Create Schedule.
  6. As each job is created, find it under Unscheduled Jobs on the Schedule tab. Add its line items, assign someone and click Schedule Job.

Common questions​

When are the jobs created? Once a day, on the schedule's Next Run date. Each job starts as Approved, with no time booked and no line items.

The contract ended early. How do I stop it? Open the schedule and click Deactivate. Past jobs are kept. Reactivate starts it again without back-dated jobs.

I edited the schedule. Do old jobs change? No. Changes apply to jobs created from now on.

Open Service Jobs → Recurring. The page is titled Recurring Schedules — "Maintenance contracts and recurring service jobs".

Create a Schedule​

Click New Schedule and fill in:

How the Jobs Are Created​

Once a day, Brother POS checks every active schedule. When a schedule's Next Run date has arrived, it creates a job and moves Next Run forward by one cycle.

Each new job:

  • is named after the schedule with a running number, for example "Monthly HVAC maintenance (Recurring #4)",
  • has the schedule's customer, category, description and site address,
  • has Normal priority,
  • starts as Approved, with no time booked and no line items.

The new job shows up in Unscheduled Jobs on the Schedule. Open it, add the line items, assign someone and use Schedule Job to book it.

For example: a Monthly schedule starting March 15 creates its first job on March 15, the next on April 15, then May 15, and so on until the end date.

One job per day

If a schedule falls behind — for example, you create it with a start date months in the past — it catches up one job per day, not all at once.

The Schedules List and Page​

The list shows each schedule's Title, Customer, Frequency (for example "Monthly", "Every 3 months", or "Every 4 weeks" for Biweekly every 2 cycles), Next Run, Jobs Created and Status (Active or Inactive). The same wording is under the schedule's title on its page.

Click a schedule to open it. Its page shows the details, the Next Run date, how many jobs it has created, and Generated Jobs — the most recent 20 jobs it made, each linked. Until the first one is made, it says "No jobs generated yet. Jobs are created automatically based on the schedule."

Edit​

Click Edit, change the details and click Update. Changes apply to jobs created from now on; jobs already created aren't changed. Changing the Start Date later doesn't move the Next Run date.

Deactivate​

Click Deactivate and confirm "Deactivate this recurring schedule?" to stop it making jobs — for example when a contract ends early. The schedule and its past jobs are kept, marked Inactive.

Reactivate​

An inactive schedule has a Reactivate button. Click it to start making jobs again. Runs that were missed while it was off are skipped: Next Run moves forward to the first cycle date from today, so you don't get a pile of back-dated jobs.
