Schedule and My Jobs
Use this page to see the week's booked jobs, book the ones still waiting for a time, and (for technicians) start and finish your own jobs from a phone.
Quick steps
For the office:
- Go to Service Jobs → Schedule. Use Prev Week, Today and Next Week to move around. Click a job card to open it.
- Scroll down to Unscheduled Jobs. Click each one and use Schedule Job in its Actions panel to book it.
For technicians:
- Open My Jobs (in the main menu, or the Service Jobs tabs for managers). Tap a job.
- Tap Start Job when you begin and Complete Job when you're done.
- To log what you did, type in Add a note..., attach photos if you like, and tap Add Note.
The Job Schedule
Open Service Jobs → Schedule. The page is titled Job Schedule, with the week's dates underneath.
The calendar shows one week, Monday to Sunday, with today highlighted. Use Prev Week, Today and Next Week to move around.
Each day lists the jobs that start that day and are Scheduled or In Progress. A job card shows the title, start time, customer, assigned staff and status, coloured by the job's category (blue when it has none). Click a card to open the job.
Jobs that are Draft, Completed or later don't appear on the calendar.
Unscheduled Jobs
Below the calendar, Unscheduled Jobs ([count]) lists Approved jobs that don't have a start time yet, each marked Needs Scheduling — up to 20 at a time. Jobs from accepted quotes and recurring schedules land here. Typing a start time on a job's Edit form also books it, moving it from this list onto the calendar.
Click one to open it, then use Schedule Job in its Actions panel. See Move the job along.
A job in Unscheduled Jobs has been agreed to but has no date. Work through it every morning so nothing agreed slips through the cracks.
My Jobs
My Jobs is built for technicians on a phone. Admins and managers reach it from the Service Jobs tabs; staff who aren't managers — clerks, for example — get a My Jobs link in the main menu as soon as they're assigned to a job. It's titled My Jobs — "Jobs assigned to [your name]" — and lists the jobs you're assigned to that are Scheduled or In Progress, earliest first. Each card shows the job number, title, customer, start time and site address.
When you have none, it says "No jobs assigned — You have no scheduled or in-progress jobs."
To get a job onto someone's list, assign them on the job page. See Assign staff.
Only their own jobs: the My Jobs list and each job's field view. The rest of Service Jobs (all jobs, quotes, the schedule, reports) stays with admins and managers.
The field view
Tap a job to open its field view. It shows:
- the title and description,
- the customer, with their phone number as a link you can tap to call,
- the site address, the scheduled time and the site notes,
- a big button for the next step — Start Job when it's scheduled, Complete Job (with a confirmation) when it's in progress, or Job Completed once it's done,
- the latest 10 notes that aren't marked internal, newest first, with photos.
To add a note from the field, type it in Add a note..., optionally attach photos (for example before-and-after shots), and tap Add Note. Notes added here are visible to everyone on the job page.
Tap Back to My Jobs to return to the list.
The field view opens for admins, managers and anyone assigned to the job. Anyone else sees "You are not assigned to this job."
