Online Tee-Time Booking

Admin Manager

Use this page to let golfers book their own tee times online, and to know what happens when they do.

Quick steps

  1. Make sure you have an active tee sheet with green fee rates. See Course Setup.
  2. Get your booking link. It ends in /book/your-course-name/tee-times. If you don't know your exact link, contact support.
  3. Put the link on your website, social media and email signature as a Book a tee time button.
  4. Golfers pick a day and time, choose their players, holes and carts, and click Confirm tee time. They get a confirmation email.
  5. The booking appears on your tee sheet straight away. When they arrive, check them in at the register.
Refunds aren't automatic

If a golfer paid online and the booking is cancelled, refund them yourself in Stripe.

Common questions

Can golfers cancel themselves? Yes, from their confirmation page or email, until their tee time starts or they check in. After that they're told to call the course.

A member didn't get the member rate. The email or phone they entered must match their customer record, and their golf membership must be active. The member rate covers the lead golfer.

Green fees show $0 online. No active rate covers that player type, holes, day and time. Add or widen a rate in Course Setup.

A day shows no tee times. Everything that day is full, blocked or already past, or the day is more than 60 days away.

More detail: your booking page

Your course has a public booking page where golfers can book their own tee times, day or night. Bookings land on your tee sheet straight away.

Your Booking Page

The page's address ends in /book/your-course-name/tee-times. The middle part is your course's booking name. If you don't know your exact link, contact support.

Put the link on your website, your social media and your email signature, as a Book a tee time button.

Nothing needs switching on beyond Golf itself and at least one active tee sheet with green fee rates.

More detail: what golfers see

What Golfers See

1. Pick a tee time

  • A strip of the next 14 days to choose from, starting today.
  • Filters for Players and Holes, then Filter.
  • Each course's open tee times for that day, with how many places are left (for example "3 of 4 open").

Only tee times that are still to come, not blocked for an event, and not full are offered. A course only shows for a holes filter it can cover, so a 9-hole course is hidden when golfers filter for 18.

2. Confirm the booking

On Confirm your tee time, golfers choose:

  • Players and Holes (the holes offered come from your rates)
  • For each golfer: a name, Player type (Public, Senior or Junior) and Cart (Yes, please)
  • Member rate (optional): members enter the email or phone on their membership to get the member rate. See Member Rates and Prepaid Rounds.
  • Contact: Your name, Email and Phone (optional)
  • Anything we should know? for notes

A Price summary shows each golfer's green fee and cart fee and the Total as they go. If no rate covers the time, it says "Some rates aren't configured for this time. The course will calculate the final price at check-in."

Golfers can't choose Member or the twilight player types themselves. Member pricing comes from their membership, and twilight rates are picked automatically by tee time.

They finish by clicking Confirm tee time.

3. Confirmation

The confirmation page says You're booked, with the course, date, tee time, group and total. It also has:

  • Add to calendar and Copy share link
  • A QR code with "Show this QR code at the pro shop to check in for your round."
  • Getting there with your address and phone
  • Manage your booking, with a Cancel booking button

The golfer is also emailed a confirmation with a View / manage booking link and a calendar invite attached. At a course that takes payment online, the email is sent once the payment goes through, not before.

More detail: cancellations, paying online, and terms

Cancellations

Golfers cancel from the confirmation page or the link in their email. The tee time is released straight away, the booking shows as Cancelled on your tee sheet, and they get one email saying it's cancelled.

Golfers can only cancel online before their tee time and before they've checked in. After that, the Cancel booking button is replaced by "This booking can't be cancelled online any more. Please call the course."

Paying Online

Some courses take payment when golfers book. This works once online payment is switched on for your store and your online payment account is set up; contact support to set it up.

When it's on, the button reads Pay & book tee time and golfers are taken to secure checkout to pay the total. Until they pay, the booking shows as Pending on your tee sheet and holds its places, and their confirmation page says Waiting for payment. Once payment goes through it becomes Confirmed and the confirmation email is sent. Bookings that come to $0 (for example a season-pass member with no cart) are confirmed straight away without checkout.

If a golfer leaves checkout without paying, the booking is cancelled automatically after about 45 minutes and its places are free again. No email is sent, because the booking was never confirmed.

When a paid-online group arrives, checking them in at the register adds nothing to the cart: there's nothing left to collect.

Refunds aren't automatic

Cancelling a paid online booking, by you or the golfer, doesn't refund them. The golfer is told the course handles their refund, so refund them yourself in Stripe if your policy allows it.

Terms and Conditions

If your course has booking terms set up, golfers see them under Terms and Conditions and must tick "I have read and agree to the terms and conditions listed above." before they can book. Contact support to add or change your booking terms.
