The Tee Sheet

Use this page to see the day's tee times, book golfers, and check in, complete or cancel a booking.

Quick steps​

To book a tee time:

  1. Click Golf in the top navigation. Use the ‹ › arrows or the date box to find the day.
  2. Click a green Book tile, or Add (N open) on a part-booked one.
  3. Enter the Name, plus Email and Phone if you have them. To link a regular, start typing in Link an existing customer.
  4. Choose the Party Size and Holes. For each golfer, pick the Player type and tick Cart if they're taking one.
  5. Check the Live price quote, then click Create Booking.

To manage a booking:

  1. Click the booking name on the tee sheet.
  2. Click Check In, No-show, Complete or Cancel Booking as needed, or Edit to change golfers or carts.
Take payment at the register

Check In here doesn't charge anything. At the register, open the Tee Times tab and tap Add fees to cart on the booking. See Pro Shop Check-In and Walk-Ins.

Common questions​

What do the tile colours mean? Green is open, amber is part-booked, red is full, and grey is held for a tournament or league.

A tile says Passed. That tee time has already started, so it can't be booked.

A green fee shows $0 in the quote. No rate covers that golfer's player type, holes, day and time. See Green Fee Rates.

The golfer paid online and cancelled. Are they refunded? No, not automatically. Refund them yourself in Stripe.


More detail: reading the grid

The tee sheet is your day at a glance: every tee time on every course, who's booked, and what's still open. Click Golf in the top navigation to open it.

Reading the Grid​

The page is titled Tee Sheet with the date underneath. Each active course (tee sheet) has its own grid, with a summary such as "60 slots · 12 bookings · 38/240 golfers".

Each tile is one tee time. It shows the time, how many golfers are booked out of the most allowed (for example 2/4), and its colour:

Amber (Partial)Some places taken. The bookings are listed, with Add (2 open) to book the rest.
Red (Full)No places left.
Grey (Blocked)Held for a tournament or league. The tile shows why, for example "Tournament: Club Championship".

Tee times that have already started can't be booked. An empty one shows Passed and is faded. A booked one still shows its bookings, but without Add.

Each booking on a tile shows the booking name and group size, with a coloured dot for its status: amber for pending, blue for confirmed, green for checked in.

Changing the day​

  • Use the ‹ and › arrows for the previous or next day.
  • Click Today to come back to today.
  • Pick any date in the date box and click Go.

The ⋮ (More Actions) button at the top has Course setup (see Course Setup) and Golf reports (see Golf Reports).

Booking a Tee Time​

  1. Click a green Book tile, or Add (N open) on a partly booked one.
  2. The New Booking page shows the course, date and tee time at the top.
  3. Under Contact Information, enter the Name (required), and the Email and Phone if you have them.
  4. Optionally pick the golfer in Link an existing customer. Start typing to search. A linked booking counts on that customer's record and in Top Golfers on Golf Reports.
  5. Under Round Details, choose the Party Size and Holes. The holes offered come from your green fee rates.
  6. Under Golfers, fill in a row for each golfer:
    • Golfer name (optional)
    • Player type: Public, Member, Senior, Junior, Twilight public or Twilight member
    • Cart: tick Yes if that golfer is taking a cart
  7. Check the Live price quote. It lists each golfer's green fee and cart fee and the Total, and updates as you change golfers.
  8. Add any Notes, then click Create Booking.

You're taken back to the tee sheet for that day, and the booking is Confirmed.

Carts follow the golfers

Tick Cart for each golfer who wants one. The booking counts as wanting a cart as soon as any golfer has one ticked, and that's what the register and the pro shop see.

Confirmation email

When the booking has an email address, the golfer is emailed a confirmation with the tee time, the estimated total, a View / manage booking link and a calendar invite.

A tee time can't be overbooked. If the party is bigger than the places left, the booking is refused with the number of places remaining. A tee time that starts while the form is open is refused with "That tee time has already passed. Please pick another time."

Opening a Booking​

Click a booking name on the tee sheet to open it. The page shows:

  • The tee time, group size, holes and status
  • Booking Details: Quoted total, Paid online (when the golfer paid when booking), the linked Customer, when it was booked, when it was checked in or cancelled, email and phone
  • Golfers: each golfer's player type, green fee and cart fee
  • Notes

Buttons:

EditOpens the booking form again. Change the golfers, party size, holes or carts and click Update Booking; each golfer's fees and the quoted total are worked out again from your rates. Lowering the party size removes the golfers at the bottom.
Resend confirmationEmails the confirmation again. Only shown when the booking has an email.
Check InMarks the group as arrived. Shown while the booking is pending or confirmed.
No-showMarks a group that never turned up. Shown once the tee time has started, while the booking is pending or confirmed. Counts toward the No-Show Rate on Golf Reports.
CompleteMarks the round as played. Shown once the group is checked in. Rounds still checked in are marked complete automatically overnight, six hours after their tee time.
Cancel BookingCancels it and frees the places. The golfer is emailed that it's cancelled. Shown while the booking is pending or confirmed. If the golfer paid online, refund them yourself in Stripe; that isn't automatic.
Back to GridReturns to the tee sheet for that day.
Take payment at the register

Check In on this page marks the booking as checked in but doesn't charge anything. At the register, the booking then shows Add fees to cart in the Tee Times tab: tap it to ring up the green fees and take payment. A booking paid online has nothing to collect. See Pro Shop Check-In and Walk-Ins.

Booking Statuses​

StatusMeaning
PendingBooked online at a course that takes payment online, and not paid yet.
ConfirmedBooked and holding its places.
Checked inThe group has arrived.
CompletedThe round has been played.
No showThe group never turned up. It no longer shows on the tee sheet.
CancelledCancelled by staff or by the golfer, or an online booking that was never paid for. The places are free again.

Tee Times Held for Events​

Starting a tournament or creating a league with a tee sheet blocks tee times on that course. Blocked tee times show grey with the event's name and can't be booked from the tee sheet, the register or online.

Blocking doesn't move a group that was already booked on those tee times. When that happens you're shown their names, so you can call them to move or cancel.
