Course Setup
Use this page to set up your course: tee times, green fees, the cart fee, holes and golf carts.
Quick steps
- Click Golf in the top navigation. Click the ⋮ (More Actions) button and choose Course setup.
- Click New Tee Sheet. Enter the Name, First Tee Time, Last Tee Time, Interval (min), Max Party Size and Holes, then save. Tee times are created for the next 60 days.
- Click Rates next to the tee sheet, then New Rate. Pick the Player Type and Holes, enter the Green fee (walking), set the time window and tick the Days of Week. Save. Repeat until every day and time you sell is covered.
- In the Golf Settings box at the top of Tee Sheets, enter the Cart fee (per golfer) and click Save.
- Click Holes next to the tee sheet. Enter each hole's Par, Yardage and SI, then click Save Course Holes.
- Optional: open Cart Fleet in the top navigation and click Add Cart for each cart.
If no rate matches a golfer, their green fee is $0. Add a rate for every player type, number of holes, day and time you sell.
Common questions
No tee times show for a day. The tee sheet must be Active, and tee times are only created up to 60 days ahead. A new day is added every night.
Why isn't 12 holes offered? The hole choices come from your rates. Add a rate for 12 holes on that tee sheet.
How do twilight rates work? If a Public golfer's tee time isn't covered by a Public rate, the Twilight public rate is used (Members fall back to Twilight member). Golfers never pick twilight themselves.
I changed the first tee time. What happens to booked tee times? Booked tee times, and times held for a tournament or league, stay as they are. Only empty future times are replaced.
More detail: tee sheet settings
Course setup is where you tell Brother POS how your course runs: when tee times start and end, how far apart they are, what golfers pay and what each hole is.
To open it, click Golf in the top navigation, then click the ⋮ (More Actions) button at the top of the tee sheet and choose Course setup. The page is called Tee Sheets.
Tee Sheets
A tee sheet is one bookable course. Most courses need one. Add another if you book two courses (or two nines) separately.
Click New Tee Sheet and fill in:
| Field | What it means |
|---|---|
| Name | What staff and golfers see, for example "Championship Course". Each tee sheet needs its own name. |
| First Tee Time | The first tee time of the day. It must be 4:00 AM or later. |
| Last Tee Time | The last tee time of the day. It must be after the first. |
| Interval (min) | Minutes between tee times, from 5 to 20. |
| Max Party Size | How many golfers fit in one tee time, from 1 to 8. |
| Holes | 9, 12 or 18 holes. |
| Active | Only active tee sheets show on the tee sheet, the register and the online booking page. |
A Preview line under the times shows what your settings will produce as you type.
The Course Rating section (Tee Color, Course Rating and Slope Rating) is optional. Take the numbers from your provincial golf association's rating sheet. When they're filled in, the list shows them under Rating / Slope; otherwise it says Not rated.
When you save, Brother POS creates the tee times for today and the next 60 days.
If you change the first or last tee time or the interval, future tee times nobody has booked are removed and the new times are created in their place, usually within a minute. Tee times that hold a booking, or are held for a tournament or league, are kept as they are.
Each tee sheet in the list has Holes, Rates, Edit and Delete links.
More detail: green fee rates and how the price is picked
Green Fee Rates
Green fee rates are the price list. Click Rates next to a tee sheet, then New Rate.
| Field | What it means |
|---|---|
| Name | A label for you, for example "Peak weekday 18" or "Twilight 9 weekend". |
| Player Type | Who the rate is for: Public, Member, Senior, Junior, Twilight public or Twilight member. |
| Holes | 9, 12 or 18. |
| Green fee (walking) | The price per golfer. |
| Cart surcharge | Optional. Added for each golfer on this rate who takes a cart. When it's filled in, it's used instead of the store-wide cart fee. |
| Window Start / Window End | The tee times the rate covers, for example 7:00 AM to 3:00 PM. |
| Days of Week | Tick the days the rate applies. |
| Priority | When two rates cover the same tee time, the higher number wins. |
| Active | Untick to stop using a rate without deleting it. |
The When this rate applies chart shows the days and hours you've picked, so you can check for gaps.
How the price is picked
For each golfer, Brother POS looks for an active rate with the golfer's player type and the number of holes booked, covering that day and tee time. If more than one matches, the highest Priority wins.
Twilight rates: if a Public golfer's tee time isn't covered by any Public rate, the Twilight public rate is used instead, and a Member falls back to Twilight member the same way. Golfers never have to pick "twilight" themselves.
Example: "Public 18" covers 7:00 AM to 3:00 PM at $65, and "Twilight public 18" covers 3:00 PM to 7:00 PM at $40. A public golfer at 4:10 PM pays $40.
Which hole options golfers see
The holes offered when booking come from your rates. If your only rates are for 9 and 18 holes, golfers can book 9 or 18 but not 12. With no rates at all, only the tee sheet's full round is offered.
If no rate matches a golfer, their green fee is $0. The booking form shows "Some rates aren't configured for this time." Cover every day and time you sell, for every player type you use.
More detail: the cart fee and course holes
Cart Fee
The cart fee is the store-wide price a golfer pays to take a cart. Set it in the Golf Settings box at the top of the Tee Sheets page: enter the Cart fee (per golfer) and click Save. The same setting is also under Settings → Operations → Golf Settings as Cart Fee Per Golfer.
It's added for each golfer who takes a cart, whether they book online or at the desk, unless their green fee rate has its own Cart surcharge. Set it to 0 if you don't charge for carts.
Course Holes
Click Holes next to a tee sheet to open its scorecard layout. Every hole is listed, starting at par 4, split into Front 9 and Back 9 on an 18-hole course.
For each hole enter:
- Par
- Yardage
- SI (Stroke Index): ranks the holes by difficulty, 1 being the hardest.
Click Save Course Holes. The page shows the total par, and the rating and slope when you've entered them. Tournament scorecards use these holes.
More detail: the cart fleet
Cart Fleet
Cart Fleet (top navigation) is a simple list of your golf carts so the shop knows which are ready.
Click Add Cart and enter:
| Field | Options |
|---|---|
| Cart Name / Number | For example "Cart #1" or "A-12". Each cart needs its own name. |
| Type | Electric or Gas. |
| Status | Available, In use, Charging or Maintenance. |
| Notes | Maintenance notes, condition and so on. |
| Active | Untick to hide a cart from the list. |
When a cart is In use, a Return link sets it back to Available. Change any other status with Edit.
The cart fleet is a status board. Carts aren't assigned to golfers automatically when they book or check in; staff update each cart's status by hand.
