Site Types & Sites
Use this page to set up what you rent out: the kinds of site or room you offer, and each real site in them.
Quick steps
To add a site type (for example "Full Hookup RV Site" or "Two-Bedroom Cabin"):
- Click Lodging in the top navigation, then the Site Types tab.
- Click New Site Type. Enter the Name, Base Nightly Rate ($) and Max Guests.
- Optional: open Rate Tiers, Extra Charges, Policies, Photos and Amenities to fill in more.
- Click Create.
To add the sites in it:
- Open the Sites tab.
- For one site, click New Site, enter the Name (for example "RV 12"), pick the Site Type, and click Create.
- For many at once, click Bulk Create. Pick the Site Type, a Name Prefix, a Start # and a Count, then click Create Sites.
To keep a site for someone, open it and click Reserve it under Reserve this site for someone. A name typed into Notes does not stop the site being sold.
Common questions
A new site type doesn't show on my website. It needs to be Active, have Bookable on the storefront ticked, and have at least one active site.
I can't delete a site type or a site. It has been booked, or (for a type) still has sites. Untick Active instead — it stops being offered and keeps its history.
Two cabins are priced differently. Can they share a type? No. Every price point is its own site type.
My screens say Room, not Site. The words follow your property type. A hotel sees Room Types and Rooms.
More detail: site type settings
Lodging is built in two layers:
- A site type is a kind of accommodation you offer — "Full Hookup RV Site", "Tent Site", "Two-Bedroom Cabin". It holds the price, the guest limit, the policies, the photos and the amenities.
- A site is one real, bookable place — "RV 12", "Cabin 3". Every site belongs to one site type.
Guests book a site type for their dates, and a free site of that type is given to them. So a type with ten sites can take ten bookings for the same night.
This page uses campground wording. A hotel sees Room Types and Rooms, a vacation rental sees Property Types and Units. See Your Property Type.
Site Types
Open Lodging → Site Types. The list shows each type's Name, Base Rate, Max Guests, how many sites it has, and whether it is Active or Inactive. Click a name to open the type, or Edit to change it.
Creating a site type
Click New Site Type. Only the first section is open; the others fold out when you click them.
Site Type Details
| Field | Required | Notes |
|---|---|---|
| Name | Yes | Must be different from your other types. |
| Base Nightly Rate ($) | Yes | The normal price per night. $0 is allowed — for a stay that is included in something else, such as an event registration. |
| Max Guests | No | The most people a booking can have. A booking for more is refused with "Maximum N guests allowed for this accommodation type". |
| Description | No | Shown to guests on your online booking page. |
| Active | — | Untick to stop taking bookings for this type. |
Rate Tiers
Weekend Rate ($/night), Weekly Rate ($/week) and Monthly Rate ($/month). Leave them blank to charge only the base nightly rate. How these are chosen is explained in Rates & Seasonal Pricing.
Extra Charges
Pets, extra guests, and — for campgrounds — extra vehicles and metered electricity:
| Field | What it does |
|---|---|
| Pets Allowed | Whether pets are welcome in this type. |
| Per Night / Or Flat | The pet fee, per pet. Per Night wins if both are filled in. |
| Max Pets | Starts at 2. |
| Base Occupancy | How many guests the base rate covers. Left blank, it is the same as Max Guests. |
| Extra Guest ($/night) | Charged per night for each guest over Base Occupancy. |
| Extra Vehicle Fee ($) | Campgrounds only. Charged once for each vehicle after the first. |
| Electric Metered (charge by kWh usage) | Campgrounds only. With Rate per kWh ($), Free kWh per Night and Amps. The guest is charged at check-out for what they used above the free allowance. See Reservations. |
When a type charges a pet fee or an extra vehicle fee, the admin booking form shows Pets and Vehicles boxes, and the fees are added from what you enter. They are worked out again if the dates, guests, pets or vehicles change. The register and your online booking page do not ask about pets or vehicles, so for those bookings open the booking in the admin, click Edit and fill them in. See Reservations.
Policies
| Field | What it does |
|---|---|
| Deposit (%) | A deposit as a share of the booking total. Leave blank for no deposit. |
| Or Flat Deposit ($) | A fixed deposit, used if the percentage is blank. |
| Cancellation Policy (shown to guests) | Your policy in words. When it is filled in, online guests must tick that they agree to it before they can book, and it is printed on their confirmation email. |
| Free Cancellation Window (hours before check-in) | For example 48. A guest who cancels from their confirmation email before this point is told they are within the free cancellation window. |
| Damage Deposit Hold ($) | An amount you can put on hold on the guest's card and later capture or release. See Reservations. |
| Check-in time slots (comma-separated) | For example 9:00 AM, 11:00 AM, 1:00 PM. Online guests must pick one. Leave blank to skip it. |
| Category (groups types into tabs on /stay) | Types with the same category appear together under one tab on your online booking page, for example "Cabin" or "Campsite". |
| Bookable on the storefront | Ticked by default. Untick for types you hand out yourself — staff units, event accommodation — so nobody can book them online. They still work in the admin and at the register. |
Stores that have the newer booking controls switched on also see:
| Field | What it does |
|---|---|
| Check-in time / Check-out time | Your arrival and departure times, for example 4:00 PM and 11:00 AM. They are passed along to websites that build their own booking page from your data; the standard booking page and emails do not show them. |
| Nights we take bookings for | Tick days for a midweek-only or weekend-only type. Leave all unticked to take bookings any night. Every night of a stay has to fall on a ticked day, or the booking is refused, for example "Tent Site is only available Fridays and Saturdays. Thursday 9 July is not a night we can offer." |
| Online payment | Only when Let guests pay on arrival is on in Settings. See Online Booking. |
Photos
A Main Photo and any number of Gallery Images. Uploading new gallery images replaces the existing gallery. Photos appear on your online booking page.
Amenities
Click an amenity to tick or untick it. The list depends on your property type — a campground gets WiFi, Washrooms, Showers, Fire Pit, Water Hookup, Electric Hookup, Sewer Hookup, Pull-Through, Pet Friendly and more. Type your own into Custom amenities (comma-separated). Amenities are shown to guests online, on the register when picking a type, and on the confirmation email.
Click Create when you are done. You land on the new type's page.
The site type page
Opening a type shows its Base Nightly Rate and Max Guests, then:
- Sites — every site of this type with its status. Add Site starts a new site already set to this type.
- Seasonal Rates — every seasonal rate for this type. Add Rate starts a new one for this type.
Edit reopens the form. The edit page also has a Rental packages button — see Rental Packages below.
Deleting a site type
Delete only appears on a type that has no sites and no bookings. A type that still has either is kept, with "This type still has sites or bookings, so it wasn't deleted. Move or remove them first." To retire a type you have used, untick Active instead.
More detail: rental packages and add-ons
Rental Packages
A rental package is a fixed-length stay with its own price — "3 Day Weekend", "7-Day Tuesday". Houseboats, cottages and anything else rented by the week often work this way.
Open a site type, click Edit, then Rental packages, then New package.
| Field | Notes |
|---|---|
| Name | For example "3 Day Weekend". |
| Number of nights | The length. The check-out date is worked out from the start date. |
| Allowed start days | Tick the days a package may start on. None ticked means any day. |
| Price (blank = nightly × nights) | The package price. |
| Peak-season price (optional) | Used instead when the start date falls inside any active seasonal rate for this type. |
| Sort order | Lower numbers are listed first. |
| Active | Untick to stop offering it. |
The list has Disable / Enable, Edit and Delete on every package.
Once a site type has an active package, online guests must pick one from a Duration list — they cannot book that type by the night. Staff can: the admin New Reservation form has an optional Rental package list (leave it on None — charge the nightly rate to book by the night), and the register books the type at its nightly rate. See Reservations.
Add-Ons
Add-ons are optional extras a guest can add to a booking — firewood, kayak rental, fuel prepay, an extra cleaning. Online guests choose them when they book, and staff can add them to any booking.
The add-on list does not have its own tab. To reach it, open any reservation: when none exist yet, the Add-Ons panel says "No add-ons configured yet." with a Create your catalog link. Bookmark the Lodging Add-Ons page once you are there.
Click New add-on:
| Field | Notes |
|---|---|
| Name | Required. |
| Description (optional) | Shown to guests under the name. |
| Price | Required. |
| Charged | Once (each), Per night, Per guest, or Per guest per night. |
| Max quantity per booking (blank = unlimited) | Anything asked for above this is cut down to it. |
| Sort order (lower = earlier) | The order they are listed in. |
| Icon (FontAwesome class or emoji) | Optional, for example ⛽️. |
| Active | Untick to stop offering it. |
"Per night" multiplies by the booking's nights and "Per guest" by its number of guests, so a $5 per-guest-per-night add-on on a two-night stay for four people with a quantity of 1 comes to $40.
Deleting an add-on that has been used on a booking archives it (Inactive) instead, with "Add-on has prior reservations; archived instead of deleted."

Sites
Open Lodging → Sites. The list shows each site's Name, Type, Status (with any note underneath), Max Guests and — for hotels, motels and resorts — Floor. Filter by Status and Site Type and click Apply; Clear resets. Sites that have been switched off are hidden from the list.
Adding one site
Click New Site:
| Field | Notes |
|---|---|
| Name | Required, and must be different from every other site. For example "RV 12" or "Cabin 3". |
| Site Type | Required. |
| Max Guests | For your reference. How many people a booking can have comes from the site type's Max Guests. |
| Section (campgrounds) / Floor (hotels) | For example "Loop 2" or "3". |
| Description | Optional. |
| Active | Untick to take a site out of use without deleting it. |
| Notes | Internal notes, for example "tap drips". |
| Has Electric Meter, Current Meter (kWh), Amps (override) | Campgrounds only. Tick Has Electric Meter on metered sites and enter today's reading. |
Adding many sites at once
Click Bulk Create. Choose the Site Type, a Name Prefix (for example "RV Site" — left blank, the type's name is used), a Start # and a Count (up to 200), then click Create Sites. "RV Site" starting at 1 with a count of 50 makes RV Site 1 to RV Site 50. Any name that already exists is skipped.
The site page
Click a site's name to open it. It shows the site type, max guests, status, and:
- Current Reservation — the stay in progress, or the next one coming. It shows the booking number, its status, whether it is paid (Paid, or the amount still due), the guest, the dates and how it was booked. View opens the booking; Change guest opens it for editing.
- Recent Housekeeping — the last ten tasks for this site.
Holding a site for someone
Under Reserve this site for someone, click Reserve it:
| Field | Notes |
|---|---|
| Who is it for? | Required. |
| From / To | Required. The check-in and check-out dates. |
| Rate per night (blank = comped) | Leave blank for no charge. |
| Note | Optional, for example "committee hold". |
Click Reserve it. This makes a real booking for those dates — confirmation number and all — so nobody else can be given the site, and it appears on the Reservations list like any other. The site shows Reserved with the note Held for and the name, and a green Held bar at the top of the page names the booking.
Release hold on that green bar cancels the booking, the same way Cancel Reservation does, and puts the site back to Available.
The green Held bar appears whenever any confirmed or checked-in booking is holding the site, not only holds you made with Reserve it. When a guest is checked in, the bar shows Open the stay instead of Release hold — a guest who is staying is checked out, never released. But Release hold does cancel a confirmed booking that has not arrived yet, even a paying guest's. Only use it on holds you made yourself.
Nothing is holding this site
A site's status and notes do not hold it on their own — only a booking with dates does. If a site says Reserved or Occupied, or has a note starting "Held for" or "Reserved for", but there is no booking behind it, it is still being offered to everyone for any dates.
Brother POS watches for this:
- The Sites list shows an amber warning — "N marked as taken, but nothing is holding them" — with a button for each site. Click one to reserve it properly.
- The site's own page says Nothing is holding this site. and opens the reserve form for you.
- The Lodging report counts them under Marked taken, not held.
The Notes box on a site says so itself: "A note doesn't hold the site — it can still be booked by anyone." Use Reserve it for someone instead.
Taking a site out of use
Edit the site and untick Active to take it out of use — it disappears from the site list, the map and booking, and keeps its history.
To remove a site for good, open its Edit page and click Delete at the bottom, then confirm. A site with bookings on record cannot be deleted — untick Active instead. To close a site for a while instead (a washout, a broken hookup), use Out of service on the register — see Front Desk on the Register.
Exporting your sites
Export CSV on the Sites list (and Sites (CSV) on the dashboard) downloads every active site with its Type, Status, Max Guests, Held By, Booking Code, From, To, Nothing Holding It (YES when nothing is) and Notes.
More detail: troubleshooting and best practices
Troubleshooting
A new site type does not appear on my website. It needs to be Active, have Bookable on the storefront ticked, and have at least one active site.
A booking says there is no site available, but the site list shows some free. Sites in Maintenance are never offered. Check also for a booking on the same dates, and for any blackout period on the type in Seasonal Rates.
I cannot delete a site type. It still has sites or bookings. Untick Active instead.
Best Practices
- Use a type for every price point. If two cabins are priced differently, they are two site types.
- Name sites the way staff say them. "RV 12" is faster to find at the desk than "Full Hookup RV Site Number 12".
- Fill in Max Guests and Base Occupancy. They are what stop an over-full booking and what charge for extra guests.
- Hold sites with Reserve it, never with a note. A note does not stop the site being sold.
What's Next?
- Rates & Seasonal Pricing — weekend, weekly, monthly and seasonal prices.
- Site Map — put your sites on a picture of the property.
- Reservations — start taking bookings.
