Admin Manager

Use this page to see which sites need cleaning or fixing, and get them back to Available.

Quick steps​

  1. Click Lodging, then the Housekeeping tab. A Checkout clean task appears by itself each time a guest checks out.
  2. To hand a task to someone, pick them in the staff picker on its card and click Assign.
  3. Click Start when the work begins. The task moves to In Progress.
  4. Click Complete when it's done. A cleaned site goes back to Available.
  5. For other jobs, click New Task. Pick the Site, Task type and Priority, add Notes, and click Create Task.
Taking a site out of service

A Maintenance task doesn't stop a site being booked. To close it, use Out of service on the register's Sites board. See Front Desk on the Register.

Common questions​

A site still shows Cleaning after I completed the task. It has another task still pending or in progress. Finish that one too. If there's none, use Mark available on the register's Sites board.

No cleaning task appeared after a guest left. The guest was never checked out. Check them out — the task is made at check-out.

What do the coloured dots mean? Priority: red is Urgent, yellow High, blue Normal, grey Low.


More detail: the board and working a task

Every time a guest checks out, their site needs cleaning before the next guest arrives. The Housekeeping board lists that work — and any maintenance or inspections you add — so nothing is missed and sites go back on offer as soon as they are ready.

Open Lodging → Housekeeping.

How Tasks Appear​

  • At check-out, automatically. Checking a guest out — in the admin or on the register — sets the site to Cleaning and adds a Checkout clean task for it, marked High priority, with a note naming the guest and the site.
  • By hand. Click New Task for anything else.

The Board​

The board has three columns, each with a count:

In ProgressTasks someone has started. Cards show who the task is assigned to, and a dot for High or Urgent tasks.
Completed TodayTasks finished today, with the time and who they were assigned to, and a Done badge.

Priority dots: red for Urgent, yellow for High, blue for Normal, grey for Low.

Task types each have their own colour: Checkout clean (blue), Stay clean (purple), Maintenance (grey) and Inspection (green).

Working a task​

  1. Click Start on a Pending task. It moves to In Progress.
  2. Click Complete when the job is done. It moves to Completed Today.

Assigning a task​

Every Pending and In Progress card has a staff picker. Choose someone and click Assign — or Reassign, when the task already has someone — to hand the task over. Admins, managers and clerks are listed.

What completing a task does to the site​

When a Checkout clean or Stay clean task is completed, the site goes back to Available — as long as it has no other cleaning, maintenance or inspection task still pending or in progress. Maintenance and Inspection tasks do not change the site's status when completed.

Taking a site out of service

A Maintenance task on its own does not stop a site being booked. To close the site while the work is done, use Out of service on the register's Sites board, and Mark available when it is fixed. See Front Desk on the Register.

Adding a Task​

Click New Task — New Housekeeping Task, "Create a maintenance or cleaning task":

Click Create Task. It appears in the Pending column. Adding a task does not change the site's status.

Assigning after the fact

You can leave a task Unassigned and give it to someone later, or hand it to someone else, with the staff picker on its card. See Assigning a task.

Where Else Tasks Show Up​

  • The Lodging Dashboard lists up to ten pending tasks under Pending Housekeeping.

Troubleshooting​

A site is still showing Cleaning after the task was completed. It has another task still pending or in progress. Complete or finish that one too. If there is none, use Mark available on the register's Sites board.

No cleaning task appeared after a guest left. The guest was never checked out. Check them out from the reservation or the register — the task is created at check-out.

Best Practices​

  • Start tasks when you start them. In Progress tells the front desk a site is nearly ready.
  • Use Urgent sparingly, for sites with a guest arriving today, so they stand out.
  • Clear the board every day. Completed Today resets at midnight, so anything left in Pending tomorrow is genuinely outstanding.
