Gift Cards

Gift cards let customers purchase a stored-value card that can be redeemed toward future purchases. At the POS register, you can activate new gift cards, reload existing ones, check balances, and accept gift cards as payment.

Feature flag required

Gift cards are only available when Enable Gift Cards is enabled in your store settings. Navigate to Settings > Edit Settings > Operations tab and toggle on Enable Gift Cards.


Activating a Gift Card

When a customer purchases a new gift card:

  1. Add the gift card product to the cart (or use Manual Item to create a gift card line).
  2. Complete the sale using any payment method.
  3. After the sale completes, the system generates a unique card number (format: GC followed by 12 characters).
  4. The card is activated with the purchased amount as the starting balance.
  5. Print or provide the card number to the customer.
Card Numbers

Each gift card has a unique card number that the customer uses for redemption. The card number is printed on the receipt when a gift card is sold. Customers should keep their receipt or card number safe.


Checking a Gift Card Balance

To look up the current balance on a gift card:

  1. When a customer presents a gift card for balance inquiry, use the gift card lookup in the payment flow.
  2. Enter or scan the card number.
  3. The system displays:
    • Card Number
    • Current Balance
    • Original Amount
    • Status (Active, Used, Expired, Voided)
    • Customer (if linked)

Reloading a Gift Card

To add funds to an existing gift card:

  1. Look up the gift card by card number.
  2. Select the Reload option.
  3. Enter the reload amount.
  4. Complete the reload payment.
  5. The balance is updated immediately.
Reload limits

Only Active gift cards can be reloaded. Cards that are Used, Expired, or Voided cannot be reloaded.


Applying a Gift Card as Payment

Gift cards can be used as a payment method at checkout, just like cash or debit.

Gift Card Payment Steps

  1. Build the cart as usual.
  2. Tap the GIFT CARD button in the payment area.
  3. Enter or scan the card number.
  4. The system looks up the card and displays its balance.
  5. If the balance covers the full amount, the entire sale is deducted from the card. Tap Complete Sale.
  6. If the balance is less than the total, the available balance is applied and the remaining amount must be covered by another payment method via Split Payments.

When the Card Covers the Full Amount

  • The sale total is deducted from the gift card balance.
  • Any remaining balance stays on the card for future use.
  • The receipt shows the gift card payment and remaining balance.

When the Card Does Not Cover the Full Amount

  • The full card balance is applied to the sale.
  • The remaining amount is shown as a balance due.
  • Use a split payment to pay the remainder with cash, debit, or another method.

Gift Card + Split Payment

Gift cards work seamlessly with split payments:

  1. Tap SPLIT in the payment area.
  2. Select Gift Card as the first payment method.
  3. Enter the gift card number and apply the available balance.
  4. Select a second payment method (Cash, Debit, E-Transfer) for the remaining balance.
  5. Complete the sale.
Partial Redemption

Gift cards support partial redemption. If a customer's cart total is $25 and the gift card has $40, only $25 is deducted, leaving $15 on the card.


Gift Card Statuses

StatusMeaning
ActiveCard has a balance and can be used for purchases or reloaded.
UsedCard balance has been fully redeemed. Cannot be used until reloaded.
ExpiredCard has passed its expiration date (if one was set).
VoidedCard has been voided by an admin. Cannot be used.

Transaction History

Each gift card tracks its full transaction history:

Best Practices

  • Always verify the card number before applying a payment. Read it back to the customer.
  • Check the status before attempting to use a card. Expired or voided cards will be rejected.
  • Print the receipt after gift card transactions so the customer has a record of their remaining balance.
  • For returns on gift card purchases, the refund can be issued back to the gift card or as store credit.
