Owner Reports
Use this page to run reports that cover several of your stores at once, from the Reports tab of the owner portal.
Quick steps
- Click Owner in the top navigation, then the Reports tab.
- Pick a report from the row of buttons: Sales, Margins, Inventory, Customers, Staff, Daily Summary, Financials or Historical Data.
- Pick the period: click Today, 7 Days, 30 Days or 90 Days, or set Start Date and End Date and click Apply.
- Under Stores, untick any store you want to leave out.
- Click Export CSV at the top right to download what's on screen.
Your dates and stores stay picked when you switch between reports.
Common questions
Where do I see voids and discounts across my stores? On the Voids & Discounts tab: every void and discount, with the store, who did it and who approved it. See Voids & Discounts.
Which report tells me what each store made today? Daily Summary. Pick Today. It shows net sales, what was collected by each payment type, and cash over/under per store.
Why do sales look different from what the tills took in? Reports show net sales before tax. What customers paid with tax is the separate Total collected (incl. tax) figure.
A product is missing from Margins. It has no cost on the product and none recorded on its sales. Add a cost to the product.
Can I see sales from before we used Brother POS? Yes, if you import them. Open Historical Data, click Import Historical Data, pick the store and a Clover "Sales Overview" CSV, and click Upload & Import.

Filters on Every Report
Each report (except Historical Data) has the same filter bar as the Dashboard:
- Start Date / End Date, then Apply. Dates entered the wrong way round are swapped for you.
- Stores: tick the stores to include. All of them are ticked to start with.
- Quick: Today, 7 Days, 30 Days (the default) or 90 Days.
The Sales report adds Employee, Payment, Status and Receipt #. The Staff report has its own Employee picker.
The quick-period buttons keep your store choice and any Employee, Payment, Status and Receipt # you picked. (The Staff report keeps the person you picked.)
Dates follow the time zone of the stores you selected — see Which day is "today"?. A report covers at most five years; pick a longer range and it starts five years before the end date, with a message saying so.
Every report except Historical Data has an Export CSV button at the top right. The export uses the dates and stores on screen.

Sales
Sales Report — every sale across the selected stores.
Extra filters

Cards

The cards and charts always count completed sales, narrowed by Employee and Payment. The Status and Receipt # filters narrow the transaction list only.
Charts (in net sales before tax): Revenue Trend by Store (one line per store, days in date order, and a day with no sales between the first and last sale day shown as 0; when the range crosses into another year, dates carry the year), Sales by Hour, Sales by Weekday, Payment Methods and Category Performance (top 10).
Tables
- Top Products — up to 100 products with their store, quantity sold and net sales (after discounts, less returns, before tax). A product's variations are counted under it.
- Category Performance — each category's quantity, number of sales and net sales. Each product counts once, under the top-level category of its primary category.
- Transactions — every sale that matches all the filters, 50 per page: store, receipt number, date, cashier, payment, status (Completed or Voided), subtotal, discount, tax, total and number of items.
Export CSV downloads the same sales as the Transactions list — status and receipt search included — with the items on each sale spelled out (for example Blue Dream x2).

Margins
Margin Analysis — how much profit each product, category and store made in the period.
Cards: Net sales (before tax), Total COGS (cost of goods sold), Gross Profit and Avg Margin %.
Each store's figures are exactly its own Sales Report (Profit tab and Overview) and Profit & Loss figures, added up across the stores. Net sales are after every discount and returns, before tax. Cost is the cost recorded on each sale line when there is one, otherwise the product's current (average) cost — the COGS card says how many lines were estimated that way — less returned items put back on the shelf.

A few things to know:
- Variations count under their main product, and products deleted since they sold still count.
- A product with no cost anywhere is left out of the All Products table — a margin with no cost would read 100%, which is a guess, not a margin. Its sales are still in the cards and the store and category totals, at $0 cost.
- Markup % shows "—" for products priced by tier or weight preset (they have no single price) and for products with no cost.

Inventory
Inventory Turnover — stock health across your stores. It looks at every product with stock on hand (or oversold), and at how fast each one sold in the period.

How products are sorted into groups (velocity is how many sold per day over the period):

| Dead Stock | Last sold 90 or more days ago. A product that has never sold counts too, once it has been on the books for 90 days with stock on hand — it shows Never sold. |
| Slow Movers | Selling, but fewer than 0.5 a day, and not dead stock. |
| Fast Movers Needing Reorder | At or below its low-stock level and selling more than 0.5 a day. |
Charts: Stock Value by Category, and Stock Value by Store when more than one store is selected.
Tables: Per-Store Inventory Health, Low Stock Alerts, Dead Stock, Slow Movers, Fast Movers Needing Reorder (up to 50 rows each) and Category Turnover. Days to Sell is stock on hand divided by velocity — ∞ when it isn't selling.
Export CSV lists every product in the report, not only the flagged ones, each with a status: Dead Stock, Slow Mover, Low Stock / Fast Mover or Normal.
Velocity is worked out over the range you pick. Today makes almost everything look slow; 30 Days or 90 Days gives a steadier picture.

Customers
Customer Analytics — the customers who bought in the period, where a customer was attached to the sale.
Cards

| At-Risk Customers | Bought at least twice at the selected stores, but not in the last 60 days — whatever range you picked. |
Charts: New vs Returning and Customers by Store.
Tables
- Customers by Store — total, new, returning and retention % at each store.
- Top Customers — by amount spent, 50 per page, with their phone or email, the store(s) they bought at, purchases, average order and last visit.
- At-Risk Customers (60+ days inactive) and Loyal Customers (5+ purchases) — up to 25 each.
Stores that share customers. When your stores share customers, one person with an account at three stores is one customer here: counted once in the cards and listed once in Top Customers, with every store they bought at under Store(s). The Customers by Store table still counts them at each store they shopped at.
Export CSV lists every customer who bought in the period, then the at-risk customers, with email, phone, stores, spend, purchases, first and last purchase, and a segment: One-time (only one purchase ever), New, Loyal, Returning or At-Risk.
More detail: the Staff report
Staff
Staff Performance — who sold what, across your stores.
Its filter bar has an Employee drop-down: All Employees — Overview, or one person (shown with their home store). Only people who made a sale in the selected stores and period are listed.
Overview
- Staff Revenue — the top 15 people by revenue. With more than one store selected, each bar is labelled with its store, so someone who sold at two stores has a bar at each.
- All Staff — everyone who sold, with Store, Sales, Revenue, AOV (average order value), Items, Refunds and Discounts. Click Detail to open one person.
Revenue on this report is each sale's net sales before tax (after discounts; refunds are counted separately under Refunds), the same per-sale figure every other report uses.
The Store column is where the sales happened, not the person's home store. Someone who works at two stores — an area manager, say — gets a row at each, and each row shows only that store's sales, items, refunds and discounts. Refunds counts returns the person processed at that store.
One person
Pick a person (or click Detail) to see their name, role and home store, and Back to All Staff to return.
- Cards: Revenue, Sales, Avg Order Value, Items Sold, Refunds, Discounts Given, Avg Items/Sale and Tips Received.
- Charts: Daily Revenue and Hourly Activity.
- Tables: Products Sold (their top 50, by net sales — after every discount and less returns, before tax, a product's variations counted under it, the same as the Sales Report) and Transactions (50 per page).
You can only look up people connected to the stores you selected: someone whose home store is one of them, who works at one of them, or who has made sales at one of them.
Export CSV downloads the overview table, or the person's transactions when one person is open.

Daily Summary
Daily Summary — end-of-day reconciliation for the selected stores and period. Pick Today for a single day, or any range.

Store-by-Store Summary
One row per store and a TOTAL row:

Below the table
- Revenue by Store (when more than one store is selected) and Payment Mix (All Stores).
- Staff Revenue and a Staff Summary table.
- Top Products — the top 15 across all selected stores — and a Top Products Detail table.
- Cash Drawer Sessions — every drawer opened in the period: store, register, opened and closed times, who opened it, float, sales, deposit, over/under and status (Open, or Closed marked Shift or EOD). When cash was safe-dropped during the shift, Deposit shows the total to bank with the split underneath (for example till $600.00 + safe $400.00). A register that has been switched off or removed since still shows here by name, with its sessions.

Financials
Financials has two tabs over the same stores and dates: P&L (the one it opens on) and Cash Flow. Your dates and store choice stay when you switch tabs, and Export CSV at the top downloads the tab you're on. Old links to the owner Cash Flow page open the Cash Flow tab.
P&L tab
Profit & Loss — a consolidated income statement.
- Cards: Net Revenue, Operating Income, Net Income and Stores.
- Per-Store Profitability (when more than one store is selected): revenue, COGS, gross profit, expenses, operating income and net income per store, with a total.
- Revenue: Gross Sales, Delivery & Shipping Fees, Less: Refunds, Less: Discounts, Net Revenue.
- Cost of Goods Sold and Gross Profit (with margin %).
- Operating Expenses and Operating Income.
- Other Income / (Expenses): Card surcharges & cash rounding (money collected on sales that isn't sales — it counts toward Net Income), then equipment purchases and financing.
- Net Income, a Monthly P&L table, and a Prior Period Comparison (the same number of days just before your range, imported history included; it shows Prior Net Income and the Change in Net Income).
Stock is an expense as it sells, through Cost of Goods Sold. Purchase orders you receive are not taken off Net Income as well — they used to be, which counted the same stock twice (receive $20,000 of stock, sell $10,000 of it, and Net Income came out $20,000 too low). Purchase orders still show on the Cash Flow tab, where cash going out is the point.
Cash Flow tab
Cash Flow Statement — money in and money out across the selected stores. Card surcharges and cash rounding aren't on this tab.
- Cards: Net Cash Flow, Net Operating, Gross Margin and Stores.
- Per-Store Cash Flow and a Net Cash Flow by Store chart (when more than one store is selected).
- Monthly Cash Flow Trend (when the range covers more than one month).
- Consolidated Operating Activities: Gross Sales, Delivery & Shipping Fees, Less: Refunds, Less: Discounts, Net Revenue, Cost of Goods Sold, Gross Profit, your operating expenses by category, and Net Cash from Operations.
- Consolidated Investing Activities: your investing expenses, one line per expense category (a single Equipment Purchases line when there are none), and Inventory Purchases (POs Received).
- Consolidated Financing Activities.
- Monthly Breakdown and Prior Period Comparison (the same number of days just before your range; Change compares net cash flow).

More detail: importing historical data
Historical Data
Historical Data holds sales summaries imported from the POS system a store used before Brother POS, so Financials can reach back before you switched.
Importing a summary
- Open Reports → Historical Data and click Import Historical Data.
- Pick the Store the history belongs to.
- Choose the CSV File. The supported format is a Clover "Sales Overview" export, up to 5 MB. Files saved from Excel are fine.
- Optionally give it a Label (for example Clover 2025 Full Year). Left blank, the file name is used.
- Click Upload & Import.
Brother POS reads the dates, sales totals and payment breakdown from the file and opens the summary: gross sales, net sales, discounts, refunds, taxes, tips, amount collected, items sold, and tables of payment types and card types.
One period, once. If the store already has history for any part of the file's dates, the import is refused: "This store already has history for part of that period (…). Delete that one first to replace it." This stops the same months being counted twice.
How reports use it
For each store and each month, when the store has no sales of its own in Brother POS that month, the imported history fills it in. Those months are marked (historical) in the Monthly Breakdown and Monthly P&L, with a note above the table. Each store's row carries its own history, so the store rows add up to the total. Imported history has no cost of goods, so for those months gross profit equals net sales.
Deleting a summary
Click Delete on the list or on the summary's page, and confirm. Reports go back to live data only for those months.

Troubleshooting
