Sharing Customers

Owner

Use this page to let your stores share customers — one account, one card and one points balance at every store — and to tidy up people who signed up at more than one store.

Quick steps

  1. Click Owner in the top navigation, then open the Customers tab.
  2. Under Stores that share customers, tick every store that should share (at least two).
  3. Under Loyalty program, pick the store whose program they'll all use.
  4. Click Save. The Sharing panel on the side switches to On.
  5. If Same person, separate accounts appears, check each entry really is one person, then click Combine.
  6. If One code, different people appears, click Settle and print those customers a new card.
Changing the loyalty program switches every store

If you change the store picked under Loyalty program and save, every sharing store moves to that store's tiers and rewards. The others' own programs are retired.

Common questions

What is shared, and what isn't? The customer's account, card and points are shared. Store credit, gift cards and house accounts stay with the store that issued them.

How do I add a store later? Tick the new store, leave Loyalty program as it is, and click Save.

How do I stop sharing? Untick the store and click Save. Untick all but one to switch sharing off. Each store keeps its customers, and points are never handed out twice.

Do daily purchase limits count across stores? Yes. While sharing is on, the limit counts what someone bought at all of the sharing stores that day.

For what sharing looks like at the register, see Sharing customers across your stores.

More detail: turning sharing on, adding and removing stores

Turning Sharing On

  1. Click Owner in the top navigation, then open the Customers tab.
  2. Under Stores that share customers, tick every store that should share. You need at least two.
  3. Under Loyalty program, pick the store whose program they'll all use. Each option shows that store's tiers, rewards and points per dollar, and says loyalty off where it isn't switched on. The store with the most set up is picked for you.
  4. Click Save.

You'll see "… now share customers: one account and one points balance at every one of them." The side panel switches to On.

Changing the Loyalty program picker switches every store's program

When you change the store picked under Loyalty program and click Save, all the sharing stores are set to that store's program. The other stores' own tiers and rewards are retired, and every customer is placed in the tier the shared program gives them.

If you leave the picker as it was — to add a store, say — the stores already sharing keep the program they share, and only stores joining now are put on it. (If the store picked isn't one of the ticked stores, the pick is ignored in the same way.) See One loyalty program for all the stores.

Adding a store later

Tick the new store, leave Loyalty program as it is, and click Save. The new store takes on the shared program, and its customers can then be found at the other stores.

Taking a store out, or switching sharing off

Untick the store and click Save. Untick all but one to switch sharing off; you'll see "Your stores no longer share customers. Each customer keeps their points at the store where they first signed up."

A store that stops sharing keeps its customers, and a points balance is never handed out twice. See A store that stops sharing for where the points go.

More detail: combining accounts

Combining Accounts

Before your stores shared, a regular may have signed up at each store separately. Same person, separate accounts lists accounts at different sharing stores that have the same phone number or email. Each entry shows every account: the store, name, phone or email, and points.

  1. Check it really is one person — a family can share a phone number.
  2. Click Combine and confirm ("Combine these into one account for …? Their points are added together.").

Their points, spend and visits are added together into one account. You'll see "1 person's accounts combined."

When there's more than one entry, Combine all … does the whole list at once. Its confirmation reminds you to check they're the same people first.

When there's nothing to combine, the section isn't shown at all.

Two accounts at the same store don't show here — merge those at that store first.

More detail: settling duplicate codes

Settling Duplicate Codes

Every store numbers its own customer codes, so before sharing, two stores may have given the same code to different people. One code, different people lists each such code with the people who hold it, oldest first. The first is marked (keeps it) and the others (gets a new code).

  1. Click Settle next to a code — or Settle all … when there's more than one.
  2. The page lists the new codes, for example "New codes: …. Give them a new card — their old one now belongs to someone else."
  3. Print those customers a new card.

Until a code is settled, scanning it at the register asks the clerk which person it is.
