Deposits After Close

Admin Manager Cashier

Use this page to record cash that was taken out of the till after a shift was already closed, so the next shift doesn't open short.

Quick steps​

From the admin panel:

  1. Click Cash Drawers in the top menu, then click View on the closed shift the cash came out of.
  2. Scroll to the Deposits After Close card.
  3. Type the Amount taken out and, if you like, a note such as "taken to the safe".
  4. Click Record deposit. The message tells you what the next shift should now find in the drawer.

From the register (when opening):

  1. Count the drawer as normal on the Open Cash Drawer screen.
  2. If your count is short of what the last shift left, the register stops you. If the missing cash really was banked, tap The $X was deposited after close. The drawer then opens normally.
It never changes a shift that already balanced

The closed shift's over/short stays exactly as it was. Only the split between "left in the drawer" and "deposited" changes.

Common questions​

Why can't I just record a cash drop? A drop is for a shift that's still open, and it changes that shift's numbers. Once a shift is closed, use a deposit after close.

I don't see the Record deposit form. Nothing is left in the drawer to deposit. The shift was closed with End Day, was closed leaving $0, or everything left behind has already been deposited.

Can I deposit more than what was left in the drawer? No. You can't bank cash that was never there. If more is missing, that needs looking into, not recording here.

The next shift still opens short. Check the deposit was recorded on the right shift — the one that left the cash behind.


More detail: why this exists

Plenty of stores don't take the money to the safe the moment the drawer is closed. The manager counts and closes at the end of the shift, and the owner collects the takings later that night — or the next morning, before anyone opens. Bars, casinos and late-night stores do this every day.

Deposits After Close is where that cash gets recorded. It lowers what the next shift is told to find in the drawer, and it deliberately leaves the closed shift's over/short exactly as it was.

The Problem This Solves​

Before this existed, cash pulled out after a close had nowhere to go:

  1. The evening shift counts $700, leaves a $200 bank in the drawer, and closes clean — balanced.
  2. Later that night the owner takes $150 out of the till to the safe. Nothing is recorded.
  3. The morning shift counts the drawer, finds $50, and is told the last shift left $200.
  4. The morning shift opens $150 short for money it never touched.

That phantom shortage was somebody's problem to explain every time it happened. Recording the $150 as a deposit against the closed shift makes the next open read correctly: the drawer should have $50, and it does.

It never rewrites a shift that already balanced

A deposit after close does not touch the closed shift's expected cash or its over/short. That count was correct when it was made, and Brother POS will not retroactively turn a night that balanced into a night that reads over. All it moves is the split between what's left in the drawer and what's been banked.

This is also why you cannot use a cash drop for it — a drop belongs to a shift that is still open and does change that shift's numbers.

Deposits After Close shows up on a session closed as a shift close — End Shift, Close & Hand Off at a 24/7 store, or a handover done with Close & open mine — the kind that leaves a bank in the drawer. An End Day close already banks the entire till and leaves nothing behind, so there is nothing left to deposit.

Recording a Deposit From the Register​

The person opening the drawer is usually the first to notice the money is gone, and is often the only person who knows why. So the register asks them.

When the opening count comes up short against what the last shift left, the POS stops and offers "The $X was deposited after close." Tapping it records the shortfall as a deposit against that closed shift and then opens the drawer normally — no shortage logged, nothing for anyone to chase down in the morning.

Bringing a runaway balance back down

The same answer fixes a till whose carried balance has crept up over several days — for example, a 24/7 till that was left with its whole count at every close. Count the real cash at open and choose "The $X was deposited after close." The difference is booked against the last shift, and from then on the next shift is told to expect what you actually counted.

Only use it when it's true

This is the honest answer to "where did the cash go" only when the cash really was banked. If nobody took it to the safe, choose Recount to count again, or No — open with it short to open anyway and let the difference be recorded as an opening variance — that is what a genuine shortfall is supposed to look like.

Best Practices​

  • Record it the same night. The longer the gap, the more likely the next shift opens short and someone spends the morning reconciling a non-problem.
  • Always add a note. "Owner took to safe, 11:40pm" answers the question before anyone has to ask it.
  • Reconcile the deposited total against your bank. The Deposited figure on each shift is what should have physically left the building.
  • If it keeps happening at open rather than at close, consider adjusting who closes the drawer, or closing with End Day so the till is banked in one step.
