Freebie Campaigns
Freebie campaigns are a promotional tool that rewards customers with a free product when their cart reaches a spending threshold. Once configured, the free item is added to the cart automatically at the POS -- no coupon codes, no cashier action, no manual discounts. It just works.

How Freebie Campaigns Work
- An admin creates a freebie campaign with a spend threshold and a free product.
- At the POS register, when a customer's cart subtotal meets or exceeds the threshold, the free product is automatically added to the cart.
- The free item shows a price of $0.00 and is labeled with the campaign name.
- If the customer removes items and the subtotal drops below the threshold, the free item is automatically removed.
- The campaign respects start and end dates, activating and deactivating automatically.
Accessing Freebie Campaigns
Freebie campaigns are created on the same Sale Campaigns page by selecting Freebie Threshold from the campaign type dropdown.
- Log in to the Admin Panel.
- Navigate to the Products page.
- Open the dropdown menu on the Products page and select Sales Campaigns.
Freebie campaigns appear as cards on the same campaigns list alongside all other campaign types.
Creating a Freebie Campaign
Step-by-Step
- Click New Campaign at the top of the campaigns list.
- Select Freebie Threshold as the campaign type.
- Fill in the campaign details:
Basic Information
| Field | Required | Description |
|---|---|---|
| Campaign Name | Yes | Descriptive name (e.g., "Spend $50 Get Free Papers"). |
| Description | No | Optional internal notes about the promotion. |
Threshold
- Enter the Spend Threshold -- the minimum cart subtotal (pre-tax) that triggers the freebie.
For example, if the threshold is $50.00, the free item is added when the customer's cart reaches $50.00 before tax.
The threshold checks the cart subtotal before tax and before any discounts from sale campaigns. This means the "sticker price" total of items in the cart is what counts.
Free Product
- Select the free product from a dropdown list. Only products marked as freebie-only appear in this list.
The selected product appears with its regular price shown (this is the value the customer is getting for free).
The free product must be in stock. If it goes out of stock during the campaign, the freebie will not be added to carts. Monitor stock levels for your freebie product throughout the campaign.
Schedule
- Set the Start Date and Start Time.
- Set the End Date and End Time.
- Click Create Campaign.
Campaign Behavior at the POS
Adding the Freebie
When a cashier builds a cart and the subtotal reaches the threshold:
- The free product appears automatically at the bottom of the cart.
- It shows a price of $0.00.
- A label shows the campaign name (e.g., "FREE - Spend $50 Promo").
- The cashier does not need to do anything -- the freebie is applied in real time.
Removing the Freebie
If the cart subtotal drops below the threshold (the customer removes items or reduces quantities):
- The free product is automatically removed from the cart.
- A brief notification tells the cashier "Freebie removed -- cart below $50.00 threshold."
Customer Awareness
Cashiers should mention the freebie to the customer: "You qualified for a free [product] today because you spent over $[threshold]!" This creates a positive experience and encourages repeat visits.
Make sure cashiers know about active freebie campaigns so they can explain it to customers. A free item that the cashier does not mention is a missed opportunity for customer delight.
Editing a Freebie Campaign
- Click the Edit button on the campaign card.
- Update any fields:
- Change the threshold amount.
- Swap the free product for a different one.
- Adjust the dates.
- Click Save Changes.
If you change the free product while the campaign is active, carts that already have the old freebie will be updated the next time they are modified. Past completed sales are not affected.
Multiple Freebie Campaigns
You can run multiple freebie campaigns simultaneously with different thresholds and products. For example:
| Campaign | Threshold | Free Product |
|---|---|---|
| Spend $30 Get Free Lighter | $30.00 | BIC Lighter |
| Spend $75 Get Free Rolling Papers | $75.00 | Raw King Size Papers |
| Spend $150 Get Free Grinder | $150.00 | Metal Herb Grinder |
If a customer's cart qualifies for multiple campaigns, all applicable freebies are added. A customer spending $160 would receive all three free items in the example above.
Unlike sale campaigns (where only the best discount applies), freebie campaigns stack. Each campaign's threshold is evaluated independently.
Freebie Campaign and WooCommerce
If your store has a WooCommerce integration, freebie campaigns can sync to your online store:
- The freebie rule is pushed to WooCommerce as a coupon or automatic discount.
- Online customers who meet the threshold receive the same free product.
- Redemption counts are synced back to Brother POS.
See Freebie Sync for configuration details.
Inventory Impact
Free items given through freebie campaigns:
- Are deducted from inventory just like a regular sale.
- Appear in inventory reports as sold (at $0.00).
- Count against the product's stock level.
- Should be monitored to prevent stockouts of the free product.
Go to the freebie product's page and set a low stock alert threshold. This way you will be notified before the free product runs out, giving you time to restock or end the campaign.
Best Practices
- Choose low-cost, high-perceived-value products. Items like lighters, rolling papers, or stickers cost you very little but feel valuable to the customer.
- Set thresholds slightly above your average sale. If your average sale is $40, set the threshold at $50 to encourage customers to add one more item.
- Monitor stock levels. A popular freebie campaign can burn through stock quickly. Keep extra inventory of the free product on hand.
- Rotate freebie products. Change the free product periodically to keep the promotion fresh and interesting.
- Promote the campaign. Put up signage in the store: "Spend $50, get FREE rolling papers!" The campaign works best when customers know about it and try to reach the threshold.
- Review performance weekly. Check redemption rates and cart values to ensure the campaign is delivering ROI.

Troubleshooting
| Problem | Solution |
|---|---|
| Freebie not appearing in the cart | Verify the campaign is active (check dates). Verify the cart subtotal meets the threshold. Check that the free product is in stock. |
| Freebie appears but shows a price | The product may have been added manually instead of by the campaign. Remove it and let the campaign auto-add it. |
| Customer got the freebie but cart was below threshold | This can happen if the customer used a coupon or discount after the freebie was added. The freebie threshold checks the pre-discount subtotal. |
| Wrong product showing as freebie | Open the campaign and verify the correct product is selected. If changed recently, have the cashier refresh the POS. |
| Freebie not syncing to WooCommerce | Check the WooCommerce integration settings and verify freebie sync is enabled. See Freebie Sync. |
