Classes
Use this page to set up group classes, give them dates, enrol people and take attendance.
Quick steps
To create a class:
- Click Classes in the navigation bar, then New Class.
- Type the Class Name, and set the Duration (in hours), Max Students and Price ($). Leave the price blank for a free class.
- Under Schedule, pick Repeats weekly and tap the days and a Start Time — or pick Specific dates only and click Add offering for each date.
- Click Create Class. For a weekly class, the dates are created for you.
To enrol people and take attendance:
- Open the class and click View on a date.
- Under Enroll Member, pick the person and click Enroll.
- After the class, pick Attended or No Show in the Mark column and click Save Attendance — or click Complete to finish the date.
Cancelling a date doesn't email the people enrolled. Let them know yourself.
Common questions
Do I need a new class every week? No. Make one class for each kind of session. A weekly class gets its dates automatically, and Add a Date on the class page adds an extra one.
How do people book online?
From your store's web address followed by /classes. A paid class takes payment online if your store takes card payments through Stripe; otherwise people book and pay at the studio.
Why was an enrolment refused with "Weekly class limit reached"? The member's plan allows a set number of classes a week, and they've used them. See Membership Plans.
Why is there no Cancel on a date? Somebody is enrolled. Open the date and use Cancel Session, which cancels their places too.
More detail: the Classes page
Classes are group sessions people enrol in: a Tuesday yoga class, a kids' programme, a weekend course. You create one class for each kind of session, then give it dates. Each date is its own bookable session with its own list of people enrolled.
Classes are switched on for stores set up as a gym. If your store has a storefront, you can turn them on or off yourself with the Classes & Courses switch in the Features section of your Storefront page. Otherwise, contact Brother POS support.
Open them from Classes in the navigation bar, or Memberships → More Actions (⋮) → Classes. They are for Admins and Managers.
The Classes Page
The page is headed Classes — "Manage your classes and courses".
| Button | What it does |
|---|---|
| Check-In Kiosk | Opens the self-serve check-in screen in a new tab. Only when check-ins are on for your store — see Check-In Desk. |
| Check-Ins | The check-in log. Only when check-ins are on. |
| New Class | Create a class. |
Each class has a card showing its description, instructor, length, Max N students, and price (or Free). A grey Inactive badge marks a class that has been switched off.
The bottom of each card tells you whether people can book it:
- N upcoming date(s) in green — it has dates coming up.
- No upcoming dates — it had dates, but they are all in the past or cancelled.
- No dates yet — it has never had any.
While any class has no upcoming dates, a How classes work box at the top reminds you: create one class per kind, then open it to add dates — no need for a new class every time.
The icons on each card open the class (to see and add dates), edit it, or delete it.

Class Details
| Field | What it does |
|---|---|
| Class Name | Required, and unique in your store. |
| Instructor | Shown on the class and copied onto each new date. |
| Description | Shown on your public class page. |
| Duration | In hours: 1.5 means 1 hour 30 minutes. Used to work out each date's end time. |
| Max Students | How many people can enrol in each date. Leave blank for no limit. |
| Price ($) | What an online enrolment costs. Leave blank for a free class. |
Schedule
Pick one of two ways to give the class its dates.
Repeats weekly — for a class on the same day and time every week.
| Field | What it does |
|---|---|
| Days of the week | Tap each day it runs. |
| Start Time | When it starts. |
| Starting from | The first day dates can be created. |
| Until | The last day. Leave blank for an ongoing class. |
Brother POS creates the dates for you, several weeks ahead, and adds more every night as time moves on. You never have to add them one by one.
Specific dates only — for a course that runs on particular days.
Set the Start Time, then click Add offering once for each date and pick the day. Each row becomes one date people can enrol in. Taking a row out later removes that date, as long as nobody is enrolled in it.
Active
Active — visible on storefront is ticked by default. Untick it to hide the class from your public class page.
Click Create Class.
More detail: a class's page and adding dates
A Class's Page
Open a class to see its Duration, Max Students, Price, Schedule (for example Mon, Wed at 6:00 PM, or Specific dates) and Status.
| Button | What it does |
|---|---|
| Edit | Change any of the class's details or its schedule. |
| Deactivate / Activate | Hide the class from your public page, or show it again. Its dates are left as they are. |
| View on Storefront | Opens the public page for this class. Only on an active class. |
Upcoming Dates
The table lists every date coming up, with its Time, Instructor, Enrolled (for example 8/12) and whether it is Open or Full.
- View opens the date — see A class date below.
- Cancel removes a date nobody has enrolled in yet. It asks Cancel this date? first.
- Show past dates adds the last year of dates to the list; Show upcoming only hides them again.
For a weekly class, a line under the heading explains that the dates are generated from your weekly schedule.
Adding a one-off date
Under the table, Add a Date works for weekly and specific-date classes alike — an extra session before a competition, a make-up class after a holiday. Pick the Date and Start Time, and an End Time if you want (otherwise it ends after the class's duration), then click Add Date.
More detail: a class date — enrolling, attendance, cancelling
A Class Date
Click View on a date to open it. It shows the Date, Time, Instructor and Enrollment — with FULL when every place is taken.
Enrolling someone
Under Enroll Member, pick the person from the list and click Enroll. The panel disappears once the date is full.
- If the person has an active membership, the enrolment is linked to it and shows their plan in the Membership column.
- If their plan has a Max Classes Per Week or Per Month limit and this class would go over it, the enrolment is refused with Weekly class limit reached or Monthly class limit reached. See Membership Plans.
- Someone already enrolled cannot be added twice: [Name] is already enrolled.
Enrolling from the admin does not take a payment or send an email. If you charge for the class, ring it up at the register.
Who is enrolled
Attendance (N) lists everyone on this date with their Membership and a status:
| Status | Meaning |
|---|---|
| Enrolled | Booked in. |
| Attended | Came to the class. |
| No Show | Booked but did not come. |
| Cancelled | Their place was cancelled. |
| Pending Payment | Booked online for a paid class and still waiting for the payment to go through — see Online Enrolment. It does not take up a place until it has. |
Anything the person typed in the Notes box when they booked online is shown under their name.
Buttons on a date
| Button | What it does |
|---|---|
| Delete | Removes the date completely. Only offered while nobody is enrolled. |
| Cancel Session | Cancels the date and everyone's place on it. Asks Cancel this session? All enrollments will be cancelled. |
| Complete | Marks the date as finished. Anyone still showing Enrolled becomes No Show. |
Recording attendance
Each person still Enrolled has a Mark dropdown. Pick Attended or No Show for each one, then click Save Attendance.
- Remove beside a person takes them off the date. It asks Remove [name] from this session? first, and their status becomes Cancelled.
- Complete saves whatever you have picked in the Mark column first, so you can mark the people who came and click Complete straight away. While anyone is still Enrolled it asks: Complete this session? The attendance marked below is saved first. Anyone still Enrolled is marked No Show (you can change that afterwards).
- After a date is completed, anyone showing No Show still has a Mark dropdown, so you can change them to Attended and click Save Attendance if they did come.
Cancelling a date, or deleting a class, does not tell the people enrolled. Let them know yourself — the Copy emails button on Members is handy for telling everyone at once.
Back to Schedule at the top of a date opens Class Schedule, a list of every upcoming date across all your classes, which you can filter by date, class and status.
More detail: deleting a class
Deleting a Class
Click the delete icon on the class's card. The confirmation reads Delete '[name]'? This cannot be undone. and, when the class still has dates coming up, adds Its upcoming dates will be cancelled.
When you confirm:
- Every upcoming date is cancelled, along with everyone's place on it, so nobody can book it any more.
- Past dates are kept, so members' class history still shows the classes they went to.
If you only want to stop the class for a while, use Deactivate on its page instead.
More detail: online enrolment and the website widget
Online Enrolment
Your classes have a public page: your store's web address followed by /classes.
It works whether or not you run a full storefront. If you do, a Classes link is added to your storefront's navigation.
- The page lists every active class. Opening one shows a calendar headed Pick a Date, with each upcoming date, how many spots are left (or Full), and an Enroll button.
- The enrolment form asks for Name, Phone and Email (all required) and optional Notes.
- The email address matches them to an existing customer, or creates a new one.
- Anything they write in Notes is saved with their booking. It shows under their name on the class date and in the notification your store gets.
- For a free class the button reads Enroll Now and they are enrolled straight away. They get a You're enrolled email, and your store gets a notification.
- For a class with a price, when your store takes card payments online through Stripe, the button reads Pay & Enroll and the person is sent to a secure Stripe payment page. Their booking shows as Pending Payment until the payment goes through. Then it becomes Enrolled, takes its place in the class, and the You're enrolled email and your store's notification go out. If they back out of paying, their booking is cancelled.
- For a class with a price when your store does not take card payments online through Stripe (including stores that take online payments only through Helcim), the button reads Enroll Now and the page says Book your place now and pay at the studio. Nothing is charged online. They are enrolled straight away. Collect the payment when they arrive.
If the last place is taken while somebody is on the payment page, they are still enrolled once their payment goes through, so the date can end up one over Max Students.
The Max Classes Per Week and Per Month limits on a membership plan are checked when staff enrol somebody from the admin. Someone enrolling themselves online is not matched to their membership, so the limit is not applied.
Putting the schedule on your own website
Once you have at least one class, the bottom of the Classes page has a Class Schedule Widget box with two snippets to copy, each with a Copy button:
- Inline Widget — paste it where you want the class schedule to appear on your page.
- Popup Button — adds a View Classes button that opens the schedule in a pop-up.
Under Customization options, data-button-text changes the button's wording and data-button-color its colour.
More detail: troubleshooting
Troubleshooting
| Problem | Solution |
|---|---|
| A weekly class has no dates | Open it and check the Schedule card. Not set means no days were picked — edit the class and tap at least one day. Dates are only created for an Active class, and appear shortly after you save. |
| A class isn't on my public page | It must be Active, and it needs upcoming dates for anyone to enrol. |
| Cancel is missing on a date | Somebody is enrolled. Open the date and use Cancel Session, which cancels their places too. |
| This class is full | Every place is taken. Raise Max Students on the class, or add another date. |
| Weekly class limit reached | The member's plan allows a set number of classes a week and they have used them. Move them to another week, or to a plan with more. |
| People enrolled online don't show a membership | Online enrolments are not linked to a membership. Only enrolments made from the admin are. |
| Name has already been taken | Another class already uses that name. |
More detail: best practices
Best Practices
- One class per kind, many dates. "Beginner BJJ" with a date every Tuesday is far easier to manage than twelve separate classes.
- Use Repeats weekly for your regular timetable and Add a Date for the odd extra session.
- Set Max Students to your real room size. The public page shows spots left, which quietly encourages people to book.
- Tell people before you cancel. Cancelling a date sends no email, so a quick message saves members a wasted trip.
What's Next?
- Check-In Desk — check people in as they arrive for class.
- Membership Plans — set class limits on a plan.
- Members — see a member's class history.
